Hi ya'll

**Please be mindful to send your responses via email rather than as a response to your thread**

Remember that thread I created before the event around your methods for keeping track of volunteers showing up to shifts / adding in a star rating?

It's time to cash in! Can every department and team lead please email (do not respond directly to this thread as it is a public forum) me through a document with their feedback on all the people they worked with? 

Teams such as Greeters and Rangers and other onsite crew are obviously the big ones. However that person who stepped into an admin role briefly that one time or the one who tried and failed to show up for a comms role would also be good to include.

I'm going to attempt to collate a comprehensive document on everyone who actually did anything for Kiwiburn this year. In an ideal world this will then be loaded into each persons profile once we get some software. 

Shout out to Site Office who have already done this. Extra brownie points for you :)

Have you read the Kiwiburn Privacy Policy esp: "We will use reasonable endeavours to only collect information directly from [the participant]" 

Just sayin.

Hiya Rich,

Sorry for the confusion, this was part of a larger conversation that began pre event between the volunteer department and anyone responsible for volunteers. My original post did ask that leads email through their response (thank you to those who have), but I have made some edits so that it is extra clear to people how they need to respond.

Great, but that isn't really what I was getting at.

Correct me if wrong, but Kiwiburn is recording (in a spreadsheet, database, paper doc, it doesn't matter) that (as a for instance) X said that Y didn't turn up for a shift.

That's collecting information from X about Y.

Which we say in the privacy policy that we don't do.

And also, that breaches privacy principle 2 - which says (in short) that you can't run a file on people without their clear consent. 

I know this may seem legalistic, but these things are important (and that rule was put there for a reason). BTW, the Privacy people are really helpful if you ask them stuff: https://www.privacy.org.nz/about-us/contact/

Just my two cents - nothing in privacy principle 2 says that a file can't be run on someone. It applies to collecting personal information, and I think that you'd struggle to convince anyone that whether or not a person turned up to their Kiwiburn volunteer shift is 'personal'.

Further, the privacy policy doesn't at any stage promise that information will come exclusively from an individual.

I also think that volunteers could reasonably assume that Kiwiburn would keep a record of their volunteer attendance, and by signing up to volunteer you have agreed to having your personal information (including name and volunteering preferences) shared amongst the volunteering teams.
