So I have just been added into the KAC's team discussion group, and wanted to share with you some of the tools they are using which I think is rather effective, for example when we need to vote online.
Has anybody heard of the software Loomio ?
I've attached a snip it , but its got some great features to it along with threads that doesn't get lost in a sea of emails, anyway if you get the chance have a look at it might be something we can look at as part of how effective we can be ?

Following up on this re voting: Asana help board suggests an option for voting, image below.
You could also just link a Doodle Pole into an Asana Task. Keeping the votes on Google Threads does seem to be quite transparent though (anyone can search back for reference - recent example was the Centre Camp to town Hall change I checked).
