Dear Sir,
Greetings of the day!
We would like to escalate the following concerns regarding Samarth Facility Management.
The key concerns are as follows:
  1. Uniform Compliance
    For the last two months, the Gym Trainer, Library Attendant, and Game Attendant have not been reporting in proper uniform despite repeated follow-ups.

  2. Attendance Management
    Staff attendance management is the responsibility of the contractor. However, our team is frequently being asked to handle attendance-related activities on their behalf.

  3. Reliever and Recruitment Issues
    There is a continuous shortage of relievers, affecting operations. Additionally, staff are being deployed without prior interview, screening, or approval and are later requested to be considered on the payroll.

  4. Lack of Management Involvement
    The owner/senior management representative of Samarth Facility Management has not visited the site even once to review operations or address the concerns raised.

Hi Velerian,

We have done this excercise before specific to the gym and had called a meeting of all the gym attendants and their supervisor + the owner was on call the the club house reception, when the previous Asst. PM property Parvin was with us. 

The attitude of this vendor is too lackadaisical and there are knee jerk reactions which last for a few days, then we are back to the square one. 

In fact for the meeting in reference above, we had instructed the attendants & asked their problems and inputs to solve points no. 2,3,4 listed in the preceeding email and also about the issue of private coaching by floor trainers during their duty hours was discussed. 

They had all agreed to comply and details on to how to solve the issues were discussed. But as time passes the SOP compliance starts to fade and now we are again discussing to what we had already done before. 

I believe there should be a rule on these number of times we can pardon or a timeline should be set for the before to rectify the issues we face with any vendor or what we keep going round in circles. 

Our talks and planning seem very good on paper but if the implementation and execution do not take place all our efforts and yours as a property management firm go to wast3.

My questions to you are- 
1. What do you propose to do? (The easiest part)
2. How do plan to do this? ( Medium difficult) 
3. How do you plan to implement? (The most difficult part).

We discussed in detail the issues we are facing with Samarth Facility Management. Today I am at the site, and have called the owner of this agency for an on-site meeting to give him a final warning regarding the issues we are experiencing. Additionally, the Clubhouse team and Property Manager will monitor their performance on a daily basis.

That's nice to hear Velerian of your initiative. 

We have crossed the level one hurdle of Proposing to do something

Now we need to cross the level 2 & 3 hurdles of Planning and then Implementation & execution.

Please take the leadership upon your self to do this job from start to finish and then handover to the site PM of This will ensure that your efforts are not lost even if we lose our PM quickly.
