Dear Friends,

  It's that time of the year! We need to kick off the prep and planning for Ananda Yana 2017. This will be the 5th edition of the event. I am hoping that most of the team from last year will be able to join us this year as well!

  I believe we can save a lot of time, efforts and planning if we answer some basic questions over email itself. This I also feel are fairly obvious and we might get unanimous support.

1. Principle and objective of the event - if we are all on the same page and agree on the motives - I believe it will be same as last year and no change in that :)
2. Registration fee, utilization of last year's funds and plans for this year - This has been sorted out.
3. Targets - no. of runners, areas etc. - I believe it will be same as last year and no change in that :)
4. Running route and categories  - categories same as last year? - I believe it will be same as last year and no change in that :)
5. Formation of teams and coordinators - can we maintain the same core team? can we get as much as possible the same co-ords from last year? - Need to figure this out.
6. Deadlines and planning - Lets set simple tasks and deadlines for 1st phase of the prep for each team. - Need to figure this out.

  If everyone are OK, I will go through the report from last year and address the team coords separately to see if the team can continue as it is. We can also see if each team can bring up salient points for discussion/change.

  Then, we can meet next Sunday to get updates on the progress. Lets meet at Cubbon park after the run next Sunday, April 23rd. I am hoping that we can at the very least meet for an hour - 8:30 - 9:30 A.M.

   This year, we also have to decide an overall coordination team to help with all aspects. It will be great if we get some volunteers for the same.

   Hope we can all come together once again! Looking forward to meeting you all on Sunday, April 23th at 8:30 A.M!! Please give your thoughts and opinions on the above points before that.

Like discussed last time lets increase the items on the plate but still keeping the cost in check! After the run people come for a unforgettable breakfast!! J

 

Last time 2 responsibilities made me loose a lot of hair J

 

I am not there next Sunday for the meeting but if u give me a aprox registration number that u have then I can speak to cooks / joints before I go and get you a estimate and different spreads!!

 

Also please let me know the date of the event!

Hi Ashok,

Yes, we can assign you for breakfast and catering team. I am sure you will do a great job.

But, people already love our breakfast for its simplicity and taste. Many people have appreciated for not going overboard and for being healthy. I believe we should try millet food this time. Let's not lose what makes us different. Remember, that the event is just not about the food alone :)

HI Santhosh and AY Volunteers

The AY2016 summary report is well documented and a good starting point for 2017 AY event.

A few thoughts/ observations...

From Budget point of view, following from the report needs to be considered/added  for expenditure or taken as volunteer contributions.

Water and Aid station

We need a vehicle (tempo) to transport tables to aid stations. Benches which were used this time will not do

·         Bananas were in shortage. For 1500 runners, 40 kg bananas is not sufficient. We require 65-70 kgs.

·         Electral needs to be given to 10K runners only, hence quantity can be reduced by 50%. This will compensate for the extra banana costs

 

 Catering

5. Shortage of glasses for drinking water

Dish washing

 

Medical and Parking

Spare medical kits to fill in as contingency

 


Also in the google sheet shared, it would be good to have a sheet with budgets for each team in advance, so team leads know how much is available for spending with an option to mention bill dates and amounts on actuals spent. A broad heading for each team with break up of expenses for each item can be added from expenses incurred last year.

What would be the cost per head this year- same as last year?

Teams, 

I had a look at the Task Force sheet and there has not been a single update from any team. We have about 25 volunteers so far and we can start assigning them - so request you all to review volunteer requirements and update it in the sheets (please highlight in blue so we know it has been updated) 
Do also look at the AY 2016 report (word doc shared by Santhosh on 21st Apr) to check if number of volunteers for your team needs to be changed from last year.

I and Priya had a meting on Sunday! These are the points!

 

1.       Priya will speak to Jyothi ( raghu) this week and get the contact details of the cook for millet based BF

2.       We will then call and negotiate the rates and the items

3.       We will check and see if the cook can himself get the plates and tumblers for the event. If not we will go to adamya chethana and get the plates and tumblers and spoons

4.       If admamya chetana we need to bring the plates and things one day in advance and have it all washed and dried. For this we need to visit Sneha care and speak to the father and the ladies who will help us

5.       We will organize the water from that side only as it is easy logistically!

6.       We need volunteers to manage the crowd

7.       We will also orgainse some eats for all the volunteers before the event begins as we will be the last to touch the breakfast

8.       We need to get the number of water cans required by aid station guys so that we order the same along with the ones for breakfast

9.       We will speak to father and get those ladies to help us in the post breakfast cleanup

10.   We will also need to set aside some money for the ladies who help in sneha care and some donation if in case we get the plates from admya chetana!

11.   We will review this again when we meet this Sunday at cubbon!

Please provide me an access to the Task sheet. 

The following tasks are completed for the Route and Logistics group:

  1. Route recce done. We have captured the entire route on a video and have shared it with Santhosh, Srini P and Nanda. 
  2. We have identified certain areas on the route that needs work by a slush clearing team. We still do not have a slush clearing team. We request Santhosh to help us with it.
  3. We have written to Virendraa from the Traffic Wardens in Bangalore. He has assured us of 4 traffic wardens for June 4.
  4. We also have last year's letter that was sent to the Bangalore Police to obtain permission for the AY event. Since Chandra is out of country, I request Santhosh to help us regarding this. 
We also have a request for all the coaches at HSR, RBR, Whitefield and Jayanagar location. The Route Logistics team need the maximum number of volunteers as Marshall and Patrolling units. If the coaches at these locations can request runners to come forward as volunteers, it will be great. We need to ensure that runners feel safe on the AY route.

Thank you Mayank... from what I remember you had about 44 volunteers last year (including slush clearing team).... do you need more than that this year?
Check you access to the sheet and update number of volunteers required.
