+1, If possible, i'd like to put it somewhere in the site, where members can look at it before proposing an event.

+1 to that. Both on the website and the link of it on the "Getting Started" paper on dropbox.

Members are requested to add any information missed here. In my opinion, this format must at least include all the information required officially for hosting the event.

Vipul, the format for proposing a talk is already published on wiki of ALiAS’ GitHub repository[1]. Kindly create an issue and suggest an edit for the same if you wish to make any changes. Presence of two different formats could be misleading for the speakers. It would be encouraged to have all the necessary formats proposed there and include its link wherever desired.

Having posters created is not expected by any of the speakers. Hence, we cannot expect them to include its link. Though, we can actively continue with uploading the posters to the events’ directory on GitHub[2]. This would also encourage in acknowledgement of the contribution made via the posters designed.

If the speaker is a student in college, then, why not? Using canva is drag and drop really. What's the issue? Otherwise, I don't even expect the speakers to create a post anyway.
(A): Should i expect that? As in, is that what we plan to do it?
(B): To be honest, I see only the active members using mailing list anyway, so, they can design the poster. Please let me know if we should plan things otherwise.

We cannot restrict anyone to use a platform just because you are comfortable using it. Even if it is the quickest possible solution for you, it may or may not be similar for others. Regardless of the speaker being a student, if the speaker is not comfortable with designing, we shall not force him or her to do so. That may also discourage the speakers from proposing an event.

(B): To be honest, I see only the active members using mailing list anyway, so, they can design the poster. Please let me know if we should plan things otherwise.
Taking help from volunteers of a specific preference would only restrict our work. I would suggest, keep it open to all. Whoever wishes to contribute can pitch in for volunteering.

I didn't mean to 'restrict' the group.
But since i agree with your response to point (A), (B) becomes irrelevant anyway.

1. True, different formats would be misleading for the speakers to propose a talk. Since some speakers proposed their talks here, I thought it would be a good idea to have a clear format here to avoid miscommunication.
2. Speakers can propose their talks on either of the platforms as per their convenience and have further discussion on it. Adding it up to the GitHub wiki and 'Getting Started' doc if everyone agrees. I vote GitHub though for proposing talks since its way more organized and easy to use.
