Are DDS and SSA able to see the "location" of a case in the claims process..???

Jack...

I applied on June 5 of this year... I called the DDS Monday and the
person who had been working on my case said that it was sent to Dallas
for "review" on August 28th and then was sent back to the local SSA
office on August 30th... She said that I should have received a letter
by now and that I should call the local office to find out why I have
not received it...

I called the local office Tuesday and was told that it was not
"showing up" (on the computer) but maybe the caseworker had not keyed
it in yet... They were going to leave a message for her to call me,
but she didn't... I called again today and got the same
answer...except, this person said that it usually takes a month to be
reviewed...

Do these people really have the ability to look on the computer and
"find" my case..??? Is it possible for it to be returned to the local
SSA office in just 2 days..???

When the system's up and working, they can find the location of your
case, but there are often glitches when the system is temporarily
down.

Never heard of a pre-effectuation QA review that took only two days.
If the QA people agree with the DDS, it should take at least a couple
of weeks before they send the case to the local office. QA people
have to fill-out all sorts of data sheets with check boxes pertaining
to the case. If it's a denial, the local office releases the denial
notice and holds the case for 60 days pending a possible recon appeal.
If it's an allowance, they trigger payment.

90% of the time, the regional QA units agree with the DDS on the
substantive issues.

If QA disagrees with DDS, it can take up to a couple of months. The
QA people send the DDS a memo trying to convince them to reverse the
decision or to get more evidence to support the decision.

If DDS disagrees, it will obviously take even longer. Each time one
of the components disagrees with the other one, the case gets
escalated up the ladder for people in higher positions to fight it
out.

In some cases, the QA review in the regional office goes smoothly but
central office QA selects the case randomly to review the regional QA
(review the reviewer). These can take up to six months but
fortunately only a very small sample is selected.

But the both computers were functioning, so why would one computer
show that the case was at the local SSA and other computer show that
it had not arrived yet... Is there some reason why it would be
difficult to trace if both computers are running..??? Is the DDS's
location more reliable than the local SSA office's..??? Is there any
diffinitive place that could tell exactly where it is at...???

Only a small sample, huh..??? That sounds about right...!!! Only 1
or 2 people per 100,000 have the condition that I have... **S**

I know absolutely nothing about computers or systems, but it's not
unusual to have inconsistent systems performance even within the same
office. If your folder's location concerns you, only thing I can say
is to keep bugging them.

The very small sample referenced above pertains to central office QA.
My wife was on the central office QA staff for about 25 years.

The percentages reviewed by the QA units in the regional offices,
e.g., Dallas are larger. At one time, it was 5% but it's my
understanding that it's up to 50%, especially for allowances.

Thanks for the link, Jack... Reading all of that just blows my
mind... I do not see how anything gets done with so many references
to make...

I went in to the local office today and they are not showing that my
case was sent to them yet... The person I spoke with said that DDS is
a state agency and SSA is federal, so that may be why there is a
discrepancy in the computer information... She said they are
expecting the "approval" to come back any day now and that they will
notify me by mail as the case is sent to the place that issues the
checks...... I asked if they call when it comes back and she said
that the award notification will come by mail...

I just need to practice being patient.. Any suggestions on that..???

Now it sounds like your case was allowed by the DDS and was not
selected for QA review in Dallas.

Ah, the wonderous mysteries of the bureaucracy.

Are there any other kinds of "reviews" done in Dallas besides the QA
reviews..???

If you know for a fact that your case went to the Dallas Regional
Ofc., then it must have been for a QA review. QA reviews are done in
all 10 regional offices: Dallas, Seattle, etc. Regional offices have
other duties, of course, but if an adjudicated individual case from
the DDS went there instead of to a local SSA ofc. or a program svc.
center, it must have been for a QA review.

Payment is triggered from either your local office or one of the six
program service centers: NY, Phil., Chi., SF, KC, or Birmingham ... or
else Baltimore (Woodlawn) HQ.

A woman on the 1-800 line "read" me a letter she said had just been sent
out; when I got it a week later, it was =not= quite what she said. I have
severe memory loss so I write everything down; and in 3 separate calls got 3
different answers.
Jack can give you the rules here, but the SSA doesn't always follow
them...... It's very odd.
