I'll accept reservations as long as space remains available, even though
the initial reservation deadline has passed; this mainly means that soon
I'll begin assigning extra space to artists who have requested more than
the initial limit.
PLEASE RETURN THE FORMS ONLY BY REGULAR MAIL. I will probably not be
home to accept deliveries by Priority Mail, Federal Express, etc. --
meaning I'll get home from work to see that friendly yellow
attempted-delivery slip, call the next day to have them redirect the
delivery to my work address, and finally receive it the day after. In
other words, please don't waste your money on overnight or 2-day
delivery -- regular mail service will be fast enough!
If you're planning to bid upon and buy artwork, please check back at the
Anthrocon web site <http://www.anthrocon.org> in late June for complete
details on the procedures. They'll be pretty much the same as last year,
except we're doing away with the bidder stickers.
If you'd like to volunteer to help with the Art Show, please let me
know! It takes a lot of people to keep things running smoothly, and the
more volunteers we have, the less work there is for each. If you work
enough hours, you'll receive a free membership to Anthrocon 2000. (The
exact amount has not yet been decided).

Anthrocon Art Show - Artist Rules
Abridged from v.2.0 (3/6/99)
The purpose of this art show is to exhibit and sell original artworks of
a science fiction, fantasy and/or fannish nature, preferably relating to
anthropomorphics. Anthrocon Art Show accepts both flat and 3-dimensional
artwork for display and sale.
Please read these rules carefully. A signed Art Show reservation form
will signify that you have read, understand, and agree to these rules.
Artists under the age of 18 must have a parent or guardian sign as well.
Reservations for space must be postmarked no later than April 30, but we
urge you to reserve your space as soon as possible.
Areas of the Art Show
There are three distinct areas of the Art Show. You must specifically
reserve space in each area in which you wish to display and sell your
work:
1. The Main Room is the largest part of the show. Here, you may display
original artwork depicting subjects suitable for all ages to view. This
room will be open during the day and evening Friday and Saturday, and
Sunday morning. Convention members may make written bids to purchase
works you want to sell. If a piece receives 6 or more written bids, it
will be sent to the voice auction Sunday afternoon.
2. The Adult Room, about one-third the size of the main room, is for the
display of original artwork depicting adult subject matter, as detailed
in "Display Requirements for Adult Artwork" at the end of these rules.
This room will be open only at night Friday and Saturday. As in the Main
Room, convention members may make written bids to purchase works for
sale. Pieces receiving 11 or more written bids will be auctioned off on
the spot beginning at midnight Saturday.
3. The Print Shop shares part of the space occupied by the Main Room,
and is for the immediate sale of multiple-copy items (such as
limited-edition photoprints, serigraphs, lithographs, photocopies,
laserprints, etc.) at a fixed price. One copy of each item will be
displayed on panels for convention members to view; the rest of the
copies will be kept at the Print Shop table, where a staff member will
sell them during the hours when the Main Room is open.
Types Of Artworks
1. All entries of original art must be your own original work on a
science fiction, fantasy or fannish nature. All entries of prints must
be based on your own original work on the same themes. We will not
permit the resale of previously purchased artwork through this Art Show
without the artist's permission in writing.
2. All flat art must be matted and backed, framed, or otherwise mounted,
ready to hang upon arrival. Framed works must have a wire for hanging.
3. Three-dimensional works should have a case to hold the items. If you
do not have a case, we cannot guarantee the safety of the item.
4. Computer art will be considered original art only if accompanied by a
notarized statement from the artist confirming same; otherwise, they
will be treated as prints.
5. Prints are defined as limited-edition photoprints, serigraphs,
lithographs, photocopies, laserprints, or other multiple-copy items.
(Hand-colored lithographs are considered original art.) Only single
copies of limited edition prints (under 500 copies) will be allowed in
the Art Show. Otherwise, the item(s) will be entered in the print shop
(see "Print Shop" section below).
Display Space
1. The display unit for flat art is the pegboard panel, 2 ft. wide by 4
ft. high. The display unit for 3-D art is the half-table, which is 3 ft.
long by 30 inches deep. When reserving your space, please keep in mind
that you must allow space for hanging hooks, adequate clearance, and for
bid sheets around your pieces. Your artwork may not extend beyond the
edge of any panel or table edge, and it may not interfere with any works
displayed by any other artist. One panel will typically hold six 9" x
12" matted pieces.
2. The units available, and the corresponding reservation fees, are:
Panel ............. 2 ft. x 4 ft. .... $5 (attending) ... $15 (mail-in)

Half-Table ........ 3 ft. x 30 in. ... $6 (attending) ... $16 (mail-in)

You must specifically reserve space for each area in which you wish to
display work: Main Room, Adult Room, and Print Shop.
Reservation fees are waived with gratitude for those who have
contributed to the Anthrocon Debt Fund. If you have purchased table
space in the Dealers Room, you may reserve one Art Show panel or
half-table at no charge.
3. In each area (Main Room and Adult Room), you may initially reserve up
to three panels or two half-tables and as little as one half-panel or
one quarter-table. There are a limited number of panels and tables.
Reserve early to guarantee yourself adequate space: first come, first
served. After May 15, requests for additional space will be considered
if space remains available. Please indicate on your reservation form how
much more space you desire.
4. If you plan to make prints available for sale through the Print Shop,
you have the option of displaying a copy on your own panel in the Main
Room, or in the Print Shop area. Please see the "Print Shop" section
below.
5. Agents representing multiple artists may reserve space for each of
the artists they represent, subject to the per-artist limitations above;
for example, an agent may reserve 3 panels for Artist A and 3 more
panels for Artist B, for a total of 6 panels. However, no other artist's
work may be displayed in space reserved for a particular artist, without
prior approval from the Art Show Director.
6. Floor space for large free-standing artwork (e.g. sculpture or
costumes) is charged at a special rate, and must be arranged with the
Art Show Director by the reservation deadline; please contact him and
include all details about the piece(s) and supports (if any).
7. Panels will be lit by 150-watt reflector floodlamps attached to an
overhead framework. Tables will be placed along a wall underneath a
skylight. If you want to bring your own electrical equipment (e.g. a
lighted display case) or if your work requires electrical power as an
integral part of the work (e.g. lamp or kinetic sculpture), please
provide full details, including a description of the equipment and total
wattage requirements, on your reservation form.
8. Assignment of display space is on a first-come, first-served basis,
ranked by postmark. Late reservations will be accepted only at the
discretion of the Art Show Director. (Please note: We strongly suggest
you reserve your space immediately.)
9. After the show is booked full, we will keep a waiting list of artists
who were unable to get space. If someone cancels their reservation, the
space will be reassigned in order to waiting list artists.
10. No space reservations will be held after noon on Saturday unless
prior arrangements have been made with the Art Show Director. Unclaimed
space will be forfeited and reassigned to waiting list artists.
Agents And Mail-In Service
1. If you cannot attend Anthrocon, you may be represented by an agent at
the convention, or you may mail in your artwork for the Art Show staff
to put on display. An agent is simply someone you authorize to act on
your behalf in dealing with the Art Show at the convention. He or she
will bring, hang and pick up your artwork, do your paperwork, etc.
Typically, an agent is an artist's friend or acquaintance who is
attending the convention anyway. One person can act as an agent for
several artists. There is no set limit to the number of artists an agent
can represent, but remember, it takes time to hang the art and do the
paperwork: allow at least 30 minutes per panel or table.
2. If you will be represented by an agent, you must complete the agency
section of the reservation form and provide your agent with a signed
letter of agency to present at the Art Show. Your agent must purchase an
attending membership in order to be admitted to the convention.
3. As our staff is limited and overworked, please note that the space
rates for mail-in artists reflect a $10 per unit surcharge. You can
avoid this by enlisting a friend who will attend to act as your agent
and take care of your artwork for you.
4. If you reserve space as a mail-in artist, you will be sent additional
instructions and deadline information, including a special shipping
address for mail-in art. (If you are not sure yet whether you will be
attending, reserve space as a mail-in artist in order to receive this
additional information. If you later decide to attend, we will refund
the mail-in surcharge.)
5. If not all of your mail-in pieces sell, you must pay return postage
or we will not send the unsold pieces back to you.
6. An agent may mail in art on behalf of one or more artists, if neither
the agent nor any of the artists represented are attending. The mail-in
rate surcharges apply.
Preparation And Check-In
1. Every piece must be labeled with its title, minimum bid price (or, if
it is not for sale, it must be so noted) and the artist's name and
address. All items for sale must have a minimum bid of at least $1, and
all prices must be in whole-dollar amounts. Each piece must have a bid
sheet and be recorded on a control sheet (provided by the Art Show). Any
work received without the proper paperwork will not be accepted for
display.
2. All artwork must be able to withstand reasonable amounts of handling
in hanging and moving to auction. Please do not bring or send items
which are not matted correctly or which may break upon handling. This
includes glass-faced mountings.
3. Your artwork and prints are not considered to have been checked in to
the Art Show until the control sheets have been checked and signed by a
staff member. We do not accept any responsibility for your artwork or
prints until they have been checked in by us.
4. Once an item has been entered in the Art Show, it may not be
withdrawn or the conditions of sale (e.g., minimum bid) changed without
the consent of the Art Show Director.
5. We do not provide insurance coverage for art entered in the show.
While we take measures to protect your art and have not had any problems
in the past, we recommend you verify that your insurance coverage
extends to display in the show.
6. For your protection, photography will not be permitted in the Art
Show, with the exception of supervised, professional press who have
received permission from the Art Show director. If you object to having
your works used, with credit, by press reviewing the convention, please
indicate this on your reservation form.
Limitations On Artwork Accepted For Display
1. The Art Show Director reserves the right to refuse any artwork for
display and/or sale for inappropriateness of subject matter or for
administrative reasons. This includes art that does not meet with the
standards of quality art that we would like to see at Anthrocon, or
which contains copyrighted or trademarked characters other than the
artist's own which does not have an obvious parody or satirical content,
as well those with libelous references to actual persons.
2. The decisions of the Art Show Director regarding artwork accepted for
display in the Art Show are final. The Art Show is under separate
management from the Anthrocon convention, and no one else has the
authority to decide what may be displayed in the Art Show.
Print Shop
1. Prints are defined as limited-edition photoprints, serigraphs,
lithographs, photocopies, laserprints, or other multiple-copy items. The
Print Shop will sell: (a.) individual or multiple copies of prints from
print runs of under 500; and (b.) multiple copies of print runs of over
500.
2. Please reserve space in advance by filling out the Print Shop section
on the space reservation form. There is a surcharge of $10 for mail-in
service, if you are not attending Anthrocon and do not have an agent.
3. You may enter up to 10 items for sale in the Print Shop, each for a
fixed price per item. Note: Different versions of the same print (e.g.,
matted and unmatted) will count as two items, if they sell for different
prices. The fee is $1 per item.
4. You may supply us up to 10 copies of each item for stock. In the
Print Shop area, we will display one copy of each item, with other
copies of the item sold from a stock accessible only to our staff. The
display copy will be sold if it is the only one left.
5. Every copy of a print must be labeled with its title, sale price, and
the artist's name and address. Prices must be in whole-dollar amounts;
minimum price is $1.
6. As in the other areas of the Art Show, works should be capable of
withstanding handling. We strongly suggest that individual prints be
matted, sealed in shrink wrapping or individual clear mylar bags, with
backing boards. If the prints are not protected in some manner, we
cannot be held responsible for any damage.
7. Since the Print Shop shares part of the space occupied by the Main
Room, please follow the "Display Requirements for Adult Artwork" at the
end of these rules. In particular, we will not be able to accept any
items depicting subjects which may be shown only in the Adult Room. If
you wish to sell such prints, you may reserve a table in the Adult
Dealers Room (open during the same hours as the Adult Art Show Room), or
make arrangements with a dealer there to sell your prints.
Auctioning and Sales
1. Artwork in the Main Room receiving 6 or more bids by noon Sunday will
go to the voice auction which begins at 1 pm Sunday. Artwork receiving 5
or fewer bids will be sold to the highest bidder on the bid sheet.
2. Artwork in the Adult Room receiving 11 or more bids by midnight
Saturday will be auctioned on the spot: an auctioneer will go around to
each panel in the room in turn, and call for further voice bids on
pieces to be auctioned. Artwork receiving 10 or fewer bids will be sold
to the highest bidder on the bid sheet.
3. Any artwork legally bid for but not collected and paid for by the
buyer will be retained by the Art Show Director. Every effort will be
made to contact the buyer, remind them of their legal obligation to pay
for purchased art at the bid price, collect the funds and remit them to
the artist. If we are unable to complete the sale within three months,
the art will be returned to the artist.
4. Art sales do not include reproduction rights. The artist and buyer
must negotiate separately per current copyright laws.
Check-Out and Payment
1. Please keep in mind our Artist Check-out hours on Sunday; please plan
to have your items out of the Art Show before the end of Artist
Check-out so that we may clear the room as soon as possible. We reserve
the right to remove artwork from its display space in order to expedite
the tear-down process if you or your agent do not make a timely
appearance.
2. Anthrocon Art Show will mail checks to the artists within one month
after the convention. Checks will be made payable to the artist unless
otherwise requested by the artist in writing or in person. Under no
circumstances will it be possible to pay at the con for sales.
Fees And Commissions
1. Space reservation (hanging) fees are detailed in the "Display Space"
and "Print Shop" sections.
2. There will be a commission of 10% on all work sold through the Art
Show and the Print Shop. However, your space reservation fees are
applied toward this commission. Thus for example, if you reserve one
panel ($5) and sell two pieces totaling $50, we would calculate as
follows:
Sales: $50 10% commission: $5
- Reservation fee paid: $5
----
Difference: $0
You Receive: $50 - $0 = $50
Another example, also with one panel reserved ($5):
Sales: $100 10% commission: $10
- Reservation fee paid: $5
----
Difference: $5
You Receive: $100 - $5 = $95
Display Requirements For Adult Artwork
Anthrocon strives to maintain a comfortable environment for *all*
members. We feel that it is unfair to force sensitive persons to be
exposed to material which offends them; likewise, we feel it is unfair
to tell others that they may not bring materials that appeal to them to
the convention.
In order to strike the best balance between the two camps and in an
attempt to make Anthrocon an enjoyable experience for all, we are
continuing a policy similar to that of previous years: material of an
adult nature, as described below, is permitted in the art show
*provided* it is not placed in public view.
We are setting aside a special "adult Art Show room", about one-third
the size of the main Art Show room, in which you may reserve panels for
the display of adult material without restriction (except for those
which are distinctly illegal). The Adult Room will be open several hours
in the evening after the main room is closed, and tightly monitored by
security to keep minors out. In addition, you may elect to display some
mild erotica in the main Art Show room, with tasteful coverings. We will
have an ample supply of creative materials for this purpose.
This policy, we feel, strikes the best balance between those who wish to
have access to adult materials and those who do not wish to be exposed
to them in any way.
