Good Afternoon,

Could someone please walk me through a GPA search?

I am trying to find all the students who have a 2.0 or less, and I keep getting a list of students that is random.  Some of them have a 3.7, etc.  It needs to be for Q1 grades only.

I am using the search by GPS under student searches.  Is there a different way that would work better?

Thanks,
Katie

GPA is one of those things that is set up when you first start using PowerSchool, and then you rarely touch it again. I have found it challenging to work with because of the number of variables surrounding GPA and the lack of helpful documentation.

I suggest you start by looking at the GPA calculations you already have and see what they do and how they are used. I would NOT change anything, just see what you have.

Then, if you find that you do not have a GPA calculation that gives you what you need, you can create one. Plan on testing it out, making changes, and testing it a few times.

  • You cannot delete a GPA calculation method after creating it

I recently created honor roll GPA calculations and found this one to give me the unweighted Q1 GPA I wanted for K-8th Q1 grade students. Of course, this only works after Q1 grades are stored.

  • I was told that if you leave the ‘Calculation type’ blank, it will behave as though you selected ‘cumulative’.

Creating a GPA calculation that references the school year will require that you update it every year, so add this to your calendar/checklist.

I do not use PS to search for GPA’s, so I’m not sure how that function works. I prefer check my GPA’s by adding it to the ‘Cumulative Info’ student page or exporting it. It sounds like exporting it would work best for you, and both ways use the same GPA data tag.

To add it to the Cumulative Info page, go to School Management > Academics > GPA Info for Student Screens.

Using the calculation method above, it would look like this. You can name yours whatever you want.

The other way to check it would be to do a Quick Export and use the same code from the Cumulative Info page.

If this is all new to you, opening a support ticket asking for help creating a new GPA calculation may be helpful. Sometimes, you can get lucky and be assigned someone who can explain things and work through it on the phone/remote session.

Katie,

The GPA Search screen is pretty easy to misconfigure because the design isn’t intuitive. Are you able to paste a screenshot of the search you were attempting?

This is my screen for the GPA search - the results I get are including students with GPA's that are higher than 2.0.

In the “Simple” GPA method on your server, it’s configured to only look at S1 and S2 grades in grade levels 9,10,11, and 12. Why don’t you try using the “Q1 Honor Roll” GPA method and see if you get a result that is more in line with what you’re expecting.
