Q: Best practices for documenting training sessions for external pilots

Dear Airdata Team,

I am a drone pilot trainer and practical skills evaluator/assessor based in Latvia (EU). I am looking for the best way to utilize Airdata’s mission planning and logging tools to document training sessions and assessments for my students.

Currently, I am facing a workflow challenge: the system seems to allow adding only pilots who are part of my own organization to a mission or flight log. As a trainer, I work with outside clients (trainees) whom I don't necessarily want to add as permanent members of my Airdata organization.

My goal is the following:

  • To document sessions such as "Practical Skill Assessment S01" without the need to create a dedicated account/log for every individual trainee.

  • To be able to assign "dummy" or "external" placeholders to a flight (e.g., Pilot 1, AO 2, or the trainee's name/ID) directly in the mission or flight details.

  • To maintain a clear record for the Civil Aviation Agency (CAA) showing that on a specific date, a training session took place where the drone (operated by trainee XYZ) performed the required maneuvers.

My questions for you:

  1. What is the recommended "best practice" for documenting such training flights within Airdata for external clients?

  2. Is there a way to add "Guest" or "External" pilot names to a flight/mission without adding them as seats in my organization?

  3. If this isn't currently a feature, are there any workarounds you suggest to ensure these logs remain audit-ready for civil aviation authorities?

Clear documentation is vital for my compliance as an evaluator, and I would love to streamline this process within your platform.
