Removing Unwanted Family and Dependent Details

Dear Friends,

For some of the employees, there are unwanted 'Family and Dependent
Details' added in HRMS. To check this, go to 'Home' => 'Mis Report' =>
'Employee SR Details', enter KGID and click 'Get' button. After the
employee details are fetched, hit the 'View Report' button.

'Employee Service Details' will be displayed. Scroll down to Section
10. Family and Dependent Details. Sometimes, you will see unwanted
entries like this:

1. HRMS - Spouse - Female - 03/05/1956

To remove this, go to 'Home' => 'Service Register' => 'Family and
Dependent Details'. Enter KGID No. of the employee who has unwanted
entry and hit the 'Get' button. Once the employee details are fetched,
a button named 'Child Status' (it is present just below the photograph
space) will get active. Click on 'Child Status' and a popup window
will open.

In the 'Child Status' window, select 'Status' as 'Expired' (from drop-
down menu) for the unwanted entry and click on 'Edit' button. That
entry will be removed. Repeat the same procedure for all unwanted
Family and Dependent Details.

Why do not we find some other way to delete this unwanted entries in
SR book not only fnominee/dependent details rather than entering
"expired".

Dear Sir,

I think the unwanted entries or entries that gotten error in them can
always be reverted/deleted by the Nodal Officer. But, the problem is
that for every such issue we need to contact the Nodal Officer, which
is always not feasible.

So, experimenting on the options we can utilize to our convenience, I
found this way of removing Family and Dependent Details like HRMS
record done to many of the employees in our Est. I wonder how HRMS can
be a sopuse to so many people!

Personally, I understand that a family member can cease to be a
dependent not only in case of death. When a daughter gets married, she
isn't a dependent anymore. We need to somehow pass on this feedback
and make few more options available to remove a family member from
dependent list. EXPIRED option alone seems to hurt sentiments.

Sure. It is true. But first thing we have to get confirmation about extension for entering the HRMS details. Do you know one thing Dr.Prashanth, we have yet to start feeding for all the staff. Only mine & dd sir's details are updated.

Dear Sir,

We are trying our best to enter all the details of staff and till now
have been successful in updating almost 50% of them. Since our est is
having somewhere around 60 employees and most of them with more than
25years of service, the job isn't any easy.

True, as you said, first we need to get confirmation about the
extension of the deadline given to us. If you have the personal number
of our Nodal Officer, please confirm and update us here Sir.

I understand the reason you haven't yet started entering data of your
staff in HRMS. Too many responsibilities ain't fair. Hope we all
finish this task well within the (hopefully extended) time frame.

Sir,

I had mailed with some query to the above said email id long back, but
there is no response till date.

There needs to be a responsive team working at HRMS Helpdesk, which
might make things look pretty simple to users like us.

Know one funny thing? Gouse went to commissioner for complaining abt HRMS nodal officers n was offered the job. May be now we shud ; )

Hello Madam,

Interesting issue!

After seeing this mail, I did try to find a way to edit family & dependent details. There should have been ways to do this from at least two places:

1. Service Register Module
2. Problem Query Request Module

However, I did not find options to edit this information. In service register module, we can only view the dependent details but cannot edit. And in problem query request module, we can remove the nominee details but not family & dependent details.

Did you get in touch with your HOD or HRMS Nodal Officer regarding this? If not, please contact them. May be we can always give a request in writing through DDO with proper supporting documents to change our family & dependent details.

Please share with us on how you will get this issue resolved; that might help others in the Group who might want this to be done.
