Start-up Meeting - 8/19/12 - 4:00pm - Chapins House

'Stake off-ers': Sam, Kyle, Connor (would prefer not to due to freshman status), Billy (cannot, has class during time frame)

The stake off-er is to be determined each week (not one persons responsibility), Sam is confirmed, Billy is a no, Connor is a last resort, Kyle is unconfirmed (Eric please confirm)

• If anyone has any other suggestions of people to use please offer them up
• Rebecca to get stake set from Rachael and distribute to the first person

Food: we have agreed to trade off weeks for who supplies the food, your base requirements are sandwiches, although you may bring whatever you may, if you do, it is  your responsibility to also bring any required equipment to cook the food

Food Assignments:

• September 8 vs Florida - Chapins (paper products Rubbermaid purchase as well)
• September 22 vs South Carolina - Ashley and Hilty, K and A cake
• September 29 vs Arkansas - Hubbards
• October 20 vs LSU - TBD
• November 17 vs Sam Houston - Schoelmans
• November 24 vs Missouri - TBD

Paper Products Rubbermaid: this will be purchase for the first game, stored in a Rubbermaid and brought for each tailgate, restock as necessary, everyone will split the initial cost of this

Equipment Assignments:

• Chapin - corn holes, yard jenga, Tent(Nicholas), bungee cords, tarp, chairs, Ice chest, Sams run
  
• Hubbard - tent, chairs, tables clothes, 2 tables, bungee cords, ice chest
• Crocker/Hilty - tv, tent , chairs, ice chest
• Schoelmans - tent, speaker, ice chest

Ricky will serve as the "Tailgate Manager" for this year (TBD for each year)

Tailgate Manager duties include but not limited to; 

• setting up an evite for each game
• coordinate with stake-offer to insure we have someone there
• coordinate equipment movement if someone is unable to attend game
• manage listserv/updates
  

Chad and Eric - game to supply food is TBD

All - send Ricky parents emails to include in evites (also include any regulars that aren't parents)

Side note: whenever we have a cost that is a "split cost" lets all please be respectful of the purchaser and get the money to them as soon as possible, this can be a touchy subject so lets do our best to mitigate any issues, this is for fun so if it ever stops being fun then it is pointless (it is easy to transfer money via paypal if everyone has an account setup, removes the issue of having to see the purchaser in person)

Action Items: 

• Eric confirm with Kyle if he is available and willing to be a stake-offer
• Rebecca to get stake set from Rachael and give to first stake-offer
  
• All to send Ricky parents emails
• Kory and Amanda to buy paper products and let everyone know how much they owe

One week away....

• Eric, please get with Kyle on if he is available to stake off
• Rebecca, do you have the stake kit?
• Kory and Amanda, food
• Kory and Amanda, paper products rubbermaid
• T-Shirts?
• Tailgate name?
• I've only received emails for me to send the evite to from Ashley, please get me your family and friends emails if you want them to be included in the evite
• Make sure to locate your tailgate equipment this weekend and it may be a good idea to test it and make sure it is in proper working condition
• if the is anything else I missed, just reply to this email with it

I've got a couple more emails for you to add to the evite list. The Towery's via clare...@aol.com. The Wilkin's via dvwi...@yahoo.com and caryw...@comcast.net.

 

Also, Dana has the stakes from last year and will get some ribbon/tape. But since the stake-offers are all in college station they may just need to run to lowes/home depot and pick up some large nails/tape. She thinks Rachel is going up sometime on Friday but may not be early enough?  We need to make sure if she is not there, that they go pick up something to stake off the spot with.
