Reporting to the Manager of Contemporary Collections, the Collection and Discovery Specialist is a customer-centric individual who has a teamwork-based approach to their work. They participate in all aspects of the collections process: the full cycle of selection, discovery, access support, and impact/use analysis for content licensed or owned by the Harvard Business School and Harvard University communities. Our information ecosystem encompasses resources that are available to all of Harvard University as well as content available only to the HBS community.

Position Description

As Baker Library moves to prioritize ongoing collection administration and maintenance within the Contemporary Collections unit of Curriculum & Learning Services, we will need additional support for both the logistical aspects of the work (communication with vendors, invoicing and coordination with Harvard Library, troubleshooting access to resources, ensuring resources are discoverable, etc.) and strategic aspects (developing collections in alignment with HBS research priorities, deepening vendor relationships, building on the depth and scope of Baker’s scholarly business materials).

This role is vital for Baker to holistically approach how we collect and what we collect. This position would be part of the Contemporary Collections team, responsible for implementing Baker’s collection strategy and policies. 

  • Responsible for vendor outreach and renewal coordination.
  • Tracks renewal dates and confirms renewal details for a portfolio of 20-30 vendors
  • First point of contact for licensed electronic resource access issues; partners with the Baker Library Systems Support Specialist to raise awareness of ongoing issues and work toward resolution with vendors.
  • Ensures information resources are easily discoverable.
  • Identifies resources requiring description updates and confirms resources are discoverable and well-documented in Baker’s Fast Answers.
  • Coordinates print/ebook selection process and recommends updates to selection profile.
  • Assists manager in EBSCO/GOBI relationship; oversees GOBI workflow of other CLS staff supporting the selection process.
  • Responds to book inquiries/requests.
  • Maintains new books, faculty books, diversity/equity/inclusion collection displays and manages e-book/QR code process (selected e-book covers displayed in the Stamps Reading Room (SRR) with QR code for discoverability).
  • Processes Harvard Library Information Technology Services/E-Resource requests (ERIN). Serves as primary contact for Harvard Library-managed resources.
  • Manages user administration and prepares usage reports for resources requiring individual accounts (FactSet, BoardEx, etc.).
  • Handles daily user account requests and responds to user account issues.
  • Coordinates vendor payment processes via the ALMA platform.
  • Works with Manager to identify vendors requiring payment system updates.
  • Coordinates transition to ALMA for all Baker Library database vendor invoice processing and completes intake forms for 50-60 vendors/products not currently in ALMA.
  • Coordinates investigation of access implementations (SSO, EZproxy, other methods) to enhance user experience and provide robust usage data.
  • Is the main point of contact with Harvard Library for EZproxy issues and SSO implementations. ·
  • Provides reference and research to support customer needs.
  • May participate on Baker Library and Harvard Library committees and working groups as appropriate.

Basic Qualifications

  • Completed or enrolled in MLIS or equivalent degree from an ALA-accredited program.
  • We will also consider someone with a Master’s degree in business, finance or equivalent experience or certification. ·
  • 3 years of relevant work experience
Note that a lesser number of years of experience will be considered at a lower grade level (56).

  • Excellent communication, presentation, and writing skills.
  • Knowledge of emerging trends in information access and authentication
  • Interest/experience in negotiating. licensing and working with data providers/vendors
  • Able to produce high quality work under tight time constraints
  • Ability to collaborate and contribute to various group projects within the department, across Baker Library, and the Harvard Library.
  • Exhibits excellent critical thinking skills to solve problems and deliver the best customer experience.

Additional Information

This role is offered as a hybrid (some combination of onsite and remote) where you are required to be onsite at our Boston, MA based campus 3 days per week. Specific days and schedule will be determined between you and your manager.
