Retrieving unallocated time for a job/project

I’ve already tried and failed support and the Accelo-community group, apologies for the cross posting, can anyone suggest a way to retrieve unallocated time?

We have been using the project report xls export to calculate the number of hours of work we have outstanding (AKA Work in progress), which is a pretty important KPI for us.

However we have discovered that the unallocated time is not reported in the spreadsheet, so it is impossible to calculate the outstanding hours correctly for any job which has unallocated time.

We like to assign blocks of budget to milestones, then let the developers 'draw down' from those blocks into sub tasks which they create as they see fit. So for those projects:

Work in progress = hours remaining + hours unallocated.

This is also how it appears in the Insight tab of the project:

Hours budget: 100

hours: remaining: 50

Hours unallocated: 50

Therefore Work in progress = 50 + 50 - 0 = 100 hours

However the project report does not contain the unallocated time, so in the above example, we are currently calculating that there is only 50 hours of work in progress:

Hours budget: 100

hours remaining 50

Hours unallocated: not reported

Therefore Work in progress = 50 + 0(not reported) = 50 hours

Now ideally we'd like unallocated time added as a column in the report, but failing that, can we retrieve it from an api?

Daniel,

Thanks for reaching out to the Developers forum.  Unfortunately, it doesn't look like we have this field available in the API at this time.  

We can retrieve several fields regarding an Object's Budget, such as total budgeted time and total time logged, however we don't have a field for either Allocated time or Unallocated time on a budget.  More info here: https://api.accelo.com/docs/#object-budgets

I'll make an improvement request to our development team to potentially add this into the API under the Object Budget.  We will contact you here once implemented.

Thanks for looking into this issue, can I be extra needy and request you ask the devs to add unallocated time to the project report spreadsheet too? I really think it’s only been omitted by accident, it makes no sense to not have it there.

We're happy to confirm that Unallocated Hours has now been added to the Projects List's Extended export.  That number accounts for the total number of hours which have been budgeted for the Project, but have not yet been allocated to the Project's Milestones or Tasks.

Thanks for implementing this, I can confirm that we are now getting "Unallocated hours" reported in our project export reports. This is great news, our outstanding work calculation is now consistent :-)

Hi Tim,

Thanks for the reply but can you treat this issue as a bug to be fixed please? 

As I said, I think there's a strong argument that unallocated time is a key value of a project and it's absence from the API is not a feature, it's a bug.

Hi Geoff,

I'll call it whatever you like if it gets it fixed :-)

There are currently 880 ideas listed. How many get added, removed, dismissed or implemented every week? Can we get some visibility?

All I know is that none of the 7 ideas we've submitted have seen any change. That's very demoralising.

• GraphQL API

• Add unallocated time to the project API

• Add the task budget breakdown bubble to the Log Time Dialog
  It would be great if we could see the state of the task budget when we are logging time.

• Add Progress Project action to trigger actions so progression actions fire
  It would be helpful to have a new trigger action that would progress a project so that progressions actions are completed and not bypassed.

• Parameters in the custom timesheet reports URL
  Proper url’s for custom Timesheet reports - so we could programatically create a timesheet url for a particular date range / type / user

• Google Calendar entry should include links to the Accelo Task.
  For Accelo to add a links to the Google Calendar entry of a scheduled activity so that is possible to click on an Accelo booking in Google calendar and links through to task/booking in Accelo.

• Offer smart suggestions for Activity Subject To be able to create activities based on checklist entries - use the checklist text as the subject of the booking.

We have a full time team member focusing on triaging and progressing the Ideas forum. I like the ideas framework, and you deserve praise for building it, but if there's any activity I can't work out how to see it. The Number 1 item in the Hot list was last commented on in August.

We publish updates every two weeks to www.accelo.com/resources/updates. Unfortunately UserVoice (the provider of the ideas system platform) doesn't seem to have a way to share data/analytics inside the platform, and we don't have the bandwidth to create our own reports beyond what we publish to our Updates blog - we're too busy focusing on making progress.
