I want to sincerely thank you for extending such generosity and partnership on behalf of our program and our participants! We are fully aligned with leaving the ballroom in the same condition as how we will find it. Thank you for offering this lovely, large space at no cost to AC.

If you have any questions prior to Saturday, please let me know. I will work with Silvan or Fabian on gaining access into the ballroom.

It was lovely speaking with you yesterday, as usual!  It sounds like you have a busy weekend planned, but I still hope to bump into you and Linus on Saturday afternoon!  I have spoken with the team about your request and we have put together a couple of options to best accommodate you. 

 

What I believe you will prefer, based on our conversation, is to have complimentary access to the Dupont ballroom.  We can grant you access during the times we discussed (1-4:00 p.m. on Saturday) as long as it is understood that the room will not be set or cleared for your group.  Therefore, there is a possibility that the room will still be set from the previous group, in transition, or already set for the next group.  We must ask that any set ups in the room are left as is, and only chairs placed around the room for your sessions. 

 

If you would prefer a cleared room or a specific set up, we would be happy to oblige and a significantly discounted rate of $500++ for the afternoon.  I know it probably seems like a lot, but it will really just cover the costs of set up and tear down.  Rental for the room is normally between $2,500-5,000. 

 

As a hotel who primarily earns revenue from guest rooms and meeting space, I’m sure you can understand that we are not normally in the practice of offering complimentary space for groups.  However, we have enjoyed working with you throughout this year and wanted to do our best to honor your request on this one occasion as a gesture of our appreciation.  We also appreciate you understanding that our outlets and public spaces are not available for use as they are areas for our guests to enjoy while they are staying/dining with us.  I hope one of the above options will work for you and that you’ll have a wonderful finals weekend!
