Good morning!

We are hoping to get a bookmobile in the next year or so and we’d like to start offering services to more daycares and PreKs in the area. We do not have preschool in our public schools yet so these are privately/individually owned preschools. How do you handle library cards and financial responsibilities during your visit? Do you issue a card to the center, each child checks out one book and that’s their ‘deposit collection’ for the month? Our library card policy states that children can be issued cards only with their responsible adult present, the adult’s signature and the adult has to have some type of library card as well.

Hello, 

Howard County Library System: 

  • we send/drop off copies of our library card applications to be filled out by the parents prior to our visit. We either ask to have them emailed back to us or we offer to pickup the paper applications
  • Depending on the size of the center, their proximity to a library, & how often we visit, we offer a center card for a deposit collection
  • We schedule the visit during pickup/drop-off to encourage parent/guardian presence - this would help with same day library card registrations
  • The "teacher" will sign up for a card for their classroom & borrow materials

Good Morning Jennifer,

We usually issue a Library card to the center, one for each class. We leave it up to them, how they want to handle the books but we suggest that only the classroom teacher have access to the card, let each child check out a book and to make sure the books stay in the classroom so that they don't get lost and they can keep better track of them. Other places, would allow the kid to take the book home but that's just caused issues because if it gets lost or damaged than the teacher/day care center is responsible for paying for it or they have issues because they want the parent to be responsible for the lost/damaged item.

We usually go every week to most centers, they keep track of how many books were checked out, the titles(print receipt), some centers write down the name of the child who wanted a book and exchange the books for new ones every week. That way if something is missing, they have time to find them and return them. For the ones, we go twice a month, same deal but if we need to renew a book to give them time to search for it, we do. We also would waive any late fees, if we needed to. That's not much of an issue now, since we went fine free as many of the Libraries in the area.

If the item is lost/damaged, we would sometimes waive the fee, if the book is a BKM item. If it's the main libraries item, that becomes harder to do. Our manager would try to talk to the circulation manager and try to explain the situation, and see if they can waive the fee for them. I think it's easier to do if that item was an older one, but on new books they wouldn't do that.

Teacher cards are issued to each teacher. For the larger center, I provided plastic totes to each teacher so they could keep materials together. After story time, each child is allowed to select one book for checkout to be kept in the classroom. I also provide a once-a-month tote of preselected items checked out to the center for the teachers to share. These items could be seasonal selections/curriculum specific where we wouldn't have enough if I checked them out directly to each teacher. It's worked out well. We only charge fines for lost/damaged materials, but it's never been an issue. If something were to happen, I'd probably just waive the fine and move on unless it became a consistent problem.

Do you all have to verify accounts with a photo id and address? I'm trying think of a less onerous way to get kids card access. Right now they have to have the parents sign up with a valid photo id and proof of address. I was hoping to get an agreement between the schools, the library, and parents where the teacher could have access to the library card numbers, but our accounts didn't want the agreement to be library-initiated because of privacy issues. The schools and orgs we're going to don't want to be responsible for lost/damaged items, which I can understand if you've got 100 students or so.

If your software allows it, you can do student cards. It can be anything from digital access only to a limit on checkouts (usually 5 or under).

We have also done “drives through the schools where they distribute forms to parents and collect them for us. Sometimes we have to follow up on missing information, but it works pretty well.

We leave it up to all of our stops how they want to handle the library cards. We do offer center/teacher cards with 2 stipulations: the center is financially responsible for lost/damaged items and the card can only be used on the bookmobiles. This is usually so we and the centers can keep track of which classroom checked out which material. Before we started doing this, if there was a lost book, sometimes all of the teachers would say that they hadn't checked out that book. 

Some centers/directors/teachers prefer to use their personal library cards. Most of our older (Kindergarten and up) students have their own library cards. The teachers send the forms home for the parents to fill out and sign for. 

We don't have any overdue fines for our department for all customers. And we waive 99% of lost/damaged items. 

Our first goal is to rehab the card-usually waiving all fines. We also offer minor library cards for kids and teens. We don't require anything from the parents for these cards and the kids can only check out 3 books. This is almost always because a parent ruined their children's library card by losing a large amount of items and this way the kids can still continue to check out items.

And last year we started carrying a small amount of new paperback books on both bookmobiles. We will give some kids a book to keep usually if their parent keeps forgetting to turn in their library card application. Sometimes the kids cry if they're the only one in the class that can't check out a book and we don't want that. The books come from donations and left over prizes from summer reading and other programs.

If possible, get sheets of barcodes so user numbers can be assigned without going through lots of library cards.  I use this method for students and residents at at-risk teen facilities.

This is what we did...then you have a roster of the children...doesn't include We uplall the personal information....but designated as a school library card with a plastic card.  We uploaded the school roster and went from there.
