Hello and good morning!

Our bookmobile is scheduled for delivery in March 2026. We are obviously over the moon. :)

As we prepare for its arrival, we’re working on a weekly schedule template that will help us plan community stops and determine staffing needs. To help guide our planning, we’d love to see examples of how others structure their bookmobile schedules.

If you're able to share a copy of your weekly schedule—including community stops, staff prep time, and driving time—we’d be incredibly grateful.

Here is ours. Quick stops and the people usually waiting for us like we're the ice cream truck.

Fridays are "closed stops" and not on our printed schedule. It's when we go to alternative schools and only the students and staff get to come aboard.

The Arrowhead Library System Bookmobile works on a 3 week rotating schedule that covers 4 counties in Northeast Minnesota. It is on the road Monday-Thursday. Any outreach events we attend are on Friday or Saturday. When determining travel time, I calculate distance from point A to point B and then add 10-15 minutes on to it for consideration of weather and road construction. Also make sure to include a lunch break and 15 minute breaks (required by union contract). For the most part, this isn't much to do for staff prep time at the start of each stop because the Bookmobile is basically ready. The few things we have to set up take less than 5 minutes. This includes: we have an extra step if we are not parked by a curb, plugging in our open sign, and setting up tablets.

We recently revamped our schedules to show the public monthly stops in our brochures and website while all stops are found on a larger staff calendar with private stops highlighted. We allot 30 minutes for travel time and set up as a buffer on both ends in our staff scheduling with some built in forgiveness if a stop runs a little over.

School stops are a bit new to us and we found that a stop during recess worked really well at an alternative school. All this really means for staff is that lunch is going to happen later in the day, but school lunch is so early that it hasn't led to any issues.

Congrats on your bookmobile!! Making cute brochures can be fun during downtime at stops (at least it is for me) and having a visual has helped me identify opportunities for new stops to try.

Here is our Bookmobile Schedule. We re-evaluate our stops every 6 months. 

We allow 30 minutes travel and set up time and allow plenty of time between the morning and afternoon stops so that staff can have lunch, restock, etc. Tuesdays is our off-road office day that is used for administrative time (planning for programs, catch up, etc.). We have events on most Saturdays.

And inside glimpse  of a community event and the "notes" 




Our ILS is an updated version of GEAC called VSmart.  It does not integrate many things, so our scheduling is provided via Google Calendar.  Cheap,  Quick, and Easy. 

Our schedule is color coded by different routes and events.   In the notes section of each entry are facts about the center, like the director's name, where to park, issues with the site or parking, etc. 

  1. Gray are "community" or "special" events that staff members can sign up for on their own as they may be before, during, or after work hours.  These can be literacy nights, fall festivals, health fairs, music concerts, booktalks, etc. Staff can earn Compensatory Time or Over Time for working these events, if applicable.  At least 2 staff members attend each event. 
  2. Agua/Teal Bright blue is the regular community route—mostly public bookmobile sites that are more park and visit type stops, including apartment complexes, housing projects, public transportation, etc.  2 staff members are assigned to this route. 
  3. Red, Navy Blue, and Purple are for our Early LIteracy Initiative or Preschool routes.  Mainly 20-30 minute story time and monthly (30) book rotation/circualtion.  Each color is a team of two staff members.  7 staff emmbers are assigned to this route. 
  4. Green is for Sensational Senior Services!  These are our adult Senior sites which include lobby stops, bookmobile stops, depositiory stops, and room -to-room stops.   We have 6 staff members assigned to this route. 
  5. Orange are our Charter school and Summer Camps visits each staff member is assigned to a school to provide literary enrichment.  During the summer these visits will be for summer camps.  all 18FT employees are assigned to school.  we visits in sets of 2, 3, or 4, depending on the school size and unit availability.
  6. Yellow is staff absences, vacation, call outs, etc. 
  7. Pink are annoucements, special meetings, vehicle information, reminders, etc. 


All routes, except the grey Community Events are real time posted.  Preschool is the most time heavy, as we want arrival for 5-10 mins before the visit, as you have to check in.  Our licensed facilities have to check the state ran database to make sure staff have the necessary background checks to enter.   So they typically leave the office in the morning 30-45 minutes (especially when utilizing a bookmobile) before the first visit, and then the day proceeds.  There is at least 15-25 minutes between each visit, unless they are close in location, to allow for travel time. 

The Community events have a built in extra hour to 1.5 horus before and one hour after to allow for travel, setup, and take down.

The Cleveland Bradley County Public Library's bookmobile also runs on an every 3 weeks schedule.

We have two bookmobile associates, myself, who takes the bus to schools and daycares, and another who takes the bus to senior living facilities and community stops. In general, we try to schedule schools and daycares MWF and senior facilities and community stops on TTh, but there is some crossover and overlap occasionally when a facility needs a certain day that would generally be the other driver's responsibility or if we need to schedule a make-up stop. For some of the larger stops, we try to schedule so that we can both be there. 

Typically, we come in at least one hour before our stops are scheduled to ensure that we have enough time to load up the bookmobile with any programming supplies we may need or any requests we may need to pull from the main branch. Depending on how far away the stop is, we always try to leave between 15-30 minutes before the scheduled start time. Sometimes that means we are there early, but that just gives us plenty of time to get the generator going and move carts that need to be moved if littles are getting on.
