1098T Missing SSN

Happy holidays everyone! 

I've been reviewing the message my college has sent out in the past to students whom we do not have an SSN in preparation for the 1098T process. I'm not too thrilled with the verbiage they've used in the past. (will include below)

Does anyone send out emails to these students and would you be willing to share your verbiage?

Planning on Claiming Educational Expenses on your 2018 axes?

We will be generating the 1098T forms in late January 2018 which will be accessible in myLane. Per IRS guidelines the college can only run these for students who have provided the college with their Social Security Numbers.

Our records show that you have been charged tuition for credit classes and have educational expenses for the 2018 tax year and that you have not supplied the college with a Social Security Number.

Lane does not require a Social Security Number for admission and does not use Social Security Numbers for identification purposes for students in general. However, if you are applying for federal financial aid through a FAFSA and/or plan on accessing the 1098T for tax purposes, we do need you to provide your SSN to Lane in order to be able to pull your FAFSA file from the Department of Education and match it with your student information here. You can provide your SSN on your admission application, or, if you have already completed admission, you may come to Enrollment and Student Financial Services, with photo ID, to give us your SSN.

If you wish to supply the college with your Social Security Number please go to https://www.irs.gov/pub/irs-pdf/fw9.pdf to print off the W9 form.

The form needs to be completed and returned by January 25, 2019 to the address below, or dropped in the Enrollment Services drop box, in building 1 on the main campus.

Hi Lisa,

 

I feel your pain! It’s a challenge to send out a concise and easy to understand message when there is so much information that the student needs to know.

 

This is what the University of Washington sends to students:

 

 

Student Fiscal Services (SFS) needs your assistance to comply with IRS reporting requirements. The University of Washington, through SFS, is required to report each student's tuition and fee payments, and any scholarship or financial aid information to the IRS each year. SFS does not currently have your Social Security Number (SSN) or Tax Payer Identification Number (ITIN) as required by US tax law. 

We are a separate department from Payroll and do not share any social security information. You may have provided your information to that office, but they cannot share with us. Please provide your SSN/ITIN as soon as possible. 

Please note: even if you've provided your SSN/ITIN to other university offices, you will need to provide it to SFS.

Our office can only accept physical/paper documents; electronic or digital copies cannot be accepted. 

Please bring one of the following documents to Schmitz 129, Monday through Friday from 12:00PM to 3:00PM:

1.) SSN Card/ITIN documentation

2.) a photocopy of your SSN card/ITIN documentation

3.) a copy of last year's tax return that shows your SSN or ITIN

NOTE:  Please include your student number. 

You can mail any of those documents to:

Or you can  fax a copy of your Social Security Card, along with your student ID card to us at 206.685.2942.

For your own protection, PLEASE DO NOT SEND THESE DOCUMENTS VIA EMAIL!

Without a valid SSN on your student's account, we will not be able to comply with IRS reporting requirements which may prompt further IRS actions.
