Hello All,
 
We've finally locked down a location (it took quite a bit of time because our building is in new ownership) and Jean's retirement party is set for Saturday, May 12 from 2-5:00 pm at the E. Pine Nonprofit building just downstairs from WROC.  We're in a bit of a crunch regarding prep time but considering all that WROC has been through these past few months...we'll lets just say that we're a resilient group of women and throwing a fun party will be a piece of cake!
 
I was thinking of making this an elegant but low maintenance kind of get-together.  The plan is to have a potluck reception and I wanted each person that is bringing a dish to send me the "title" of their dish and a good wish for Jean...I'll then print these on little table tent cards to place in front of each plate.  Here's what I had in mind for the flow of the event:
2:00  Introduction...hello, thank you for coming, etc
2:15 - 3:30  Mingle, eat, enjoy music
3:30 - 4:30  Toast to Jean, open mic
 
So far we have the venue down, the email announcement will go out shortly after the draft is reviewed, Mary confirmed the music entertainment and is working on decorations and flowers. I am sending out an evite by the end of this week to help coordinate the potluck items. WROC will give us the gift certificate to columbia winery and some gift cards for groceries.  I also plan on asking someone from my work to donate supplies (napkins, cups, utensils) and should have a list of donations late next week.  Here's a breakdown of the remaining tasks that need to be done:
*Coordinate volunteers for set up and clean up
*Coordinate and prepare items to present Jean with a gift basket from members(items will be donated from friends and colleagues - doesn't have to be too much...maybe some gardening tools, gift certificates, books, etc)
*Create visuals for the room that reflect Jean's work - collages of news articles, thank you letters from members and the community
*Help setup food tables
*Help get donations for remaining supplies
 
What do you think so far...too much...too little?  I think if a couple of people would take on one task it could get done.  Would you all let me know what your thoughts and availability to help will be?  Perhaps some of us can do a check in meeting Friday, May 4th in the afternoon.  Who would be able to make this?  Please forward to anyone you know who would be interested in pitching in.
