Hello All,

Please read through the following information as it's important to the running of our club!

As a group we have become pretty bad at keeping on top of paying for our Ultimate habits in a timely fashion. We've been pushing regular updates of the debts accumulated and Charlie (our wonderful treasurer) has been working very hard, too hard in fact, to keep on top of this. So to make sure people take this seriously, as promised, the following apply going forward from today:

Anyone who has not completed an enrolment form (includes becoming a basic member of UK Ultimate) & paid subs for the year will not be allowed to take part in training or tournaments. 

This is really just a safety thing. We need your emergency contact details. We need to have everyone to have Basic £5 Membership with UK Ultimate to be covered by their insurance. We currently have 44 enrolled and paid up members. There's another 20 odd at least who need to get it done.

Anyone who is in debt will not be allowed to take part in training or tournaments.

You can go get money to pay off your debt (plenty of cash points nearby), get someone to lend you the money or help the coach run the session, but you won't be allowed to take part. :( We didn't want to take this step but we've had to as club is still carrying more than £250 worth of debt since January 2015, and over £1000 from previous years, although the trend is in the right direction!

Although people have become better at paying we'd like to see this get even better. So we're proposing 5 things to make things better & easier for everyone:

a. Anyone paying money to the club for training sessions, needs to do so with a minimum £20 payment (& in £20 increments). This will greatly reduce the burden on Charlie processing £2.50 here and there, and let us do the more interesting and better value things below, simples! For example I pay in £100 at the start of the year and don't have to think about it again for at least 6-9 months based on the sessions I attend.

b. That those who attend regularly (once a week) or even semi-regularly (once or twice a month) set up standing orders from their accounts to the St Albans Club account so that they never fall into debt in the first place! This should be in £5 increments. For example: Me, as someone who attends almost all Wednesday sessions + the occasional Thursday session, I could set up a £15 per month standing order. You can adjust this up or down as and when you like based on your attendance.

c. We are working on a fixed fee for the season for the Mixed team that will cover all tournament entries and training sessions (after trials). This will of course be discounted in relation to the cost of paying for every training session, but will only apply to outdoor trainings (Wednesday & Weekends)

d. We are working on fixed fees for the year for Outdoor Training and for Indoor Training. We have a number of years worth of data now to work out a reasonable amount for people to pay up front to cover the cost of their training for the year. This will of course include a discount in relation to the cost of paying for every training session. However we haven't been able to work on this properly yet as we've been chasing debts to make sure the club doesn't get into difficulty.

e. Finally we're also working on a system that allows the treasurer to easily keep a balance for everyone so that training and tournament fees can be taken from the same pot. This really requires us to start paying using options a & b above to make it worthwhile and not just a lot of extra work for Charlie!

Hopefully everyone understands why we have to take such a hard line on this now and that we are trying to make things more sustainable and easier for all involved in the long run!
