On behalf of the Board, this email serves to notify you of an upcoming special vote that will be conducted virtually and open to all members in good standing.
As I mentioned at the AGM in January, we've been working with the Sharks to determine how we can best work together. During those discussions, we came to the agreement that a 2 year exclusive partnership worked best so that we could get the ball rolling, but still have time to work out all of the details. This partnership needs to be voted on by our membership.
If the vote passes, the following will take effect for the duration of the agreement (~18 months, concluding at the 2028 AGM):
1. A representative from the Sharks Executive Board will be placed on the SSRFC Executive Board as Youth Director for the remainder of the current term. The Sharks representative will assume all responsibilities of the SSRFC Youth Director as currently defined.
2. The SSRFC Treasurer will be installed as director on the Sharks executive board for the duration of this agreement and be given full insight to all accounts as required.
3. Accounts and finances for SSRFC and the Sharks will not be combined and shall remain separate for the duration of this agreement.
4. SSRFC Marketing Director will coordinate with the Youth Director/Sharks representative to promote and market the Sharks, their programs and events.
5. Either side can terminate the agreement at any point with written notice to the other party.
At the end of the exclusive partnership, if both sides are still happy to move forward, a vote would be held at our 2028 AGM to marry the two sides together.
In the simplest of terms, this vote is to determine if we want to get engaged, and the 2028 vote is to get married.
We will be holding a virtual call before the vote opens on Thursday, April 23rd to answer questions so that everyone feels well-informed. This call will start around 7/7:30 and the details for that call and the voting ballot will be sent out by Chris. Voting will be open for a week and close on Thursday, April 30th.
Only members in good standing are eligible to participate in this vote. To be considered in good standing, your membership dues must be current. If you have any questions about your standing, please reach out to Chris
In order for the results of this vote to be valid and binding, we must achieve a quorum, which is two-thirds (2/3) of all eligible members. Without a quorum, the result does not count regardless of how many members participated or how the votes fell so please make sure to vote before the window closes on April 30th.
