Important: Updates 2/24/16

Hi team, 

Hope you're all having a good one - these are the notes from yesterday and updates for this week:

1. We have to finalize confirmations with the organizations, businesses, and speakers that will be attending. Please see the first two attached files for our partnership agreement form. Before you send these out, you have to tailor it to the organization that you are confirming with. Please ask if you have any questions about this. Once you fit most of the general information in, you should be able to use generally the same items with different contact information for each person you're speaking with.

Once they have confirmed their coming to the event, please add their information to the tab labeled "Confirmed Orgs" on our master spreadsheet. This should only after you get a copy of the signed and completed letter. The master spreadsheet is as follows:

If your contact is a performance group or speaker, please try to find an opportunity for you, me, and the speaker to sit down in person to discuss their role in the event. 

2. Please follow up with organizations that did not respond within 2-3 business day of your first outreach. Be respectful, but nudge th4. 4. em a little and let them know that you're still interested in their coming to the HWF. This should be done in addition to the 3 new emails by Friday @ 8PM and 3 more by our meeting on Tuesday @ 8PM. You do not need to send an update on Friday if you send your email by then.

3. Please check the spreadsheet before you contact anyone so that we don't get repeats. This is unprofessional and we don't want to confuse our contacts with multiple people on our end.

4. If you have been giving out this google forms, PLEASE DO NOT:

Rather, discuss this information in your email or when you talk to your contacts in person, and list the information on the master spreadsheet.

5. If anyone wants to donate anything, you can give them the attached letter or just our tax exemption ID for tax deductible contribution. DO NOT give them our 990-EZ form.

6. Team photos will occur later in the semester once our team roster is finalized. People have been missing meetings or failing to give proper notice. We also have two new members, and we want to ensure we have solid members in our team before we take the photos. 

7. Groupme: Please "like" the messages that are sent out by others as a sign of confirmation of receipt. If you do not have the app, downloading it is free. This is to show that everyone is on the same page. If you have read up to this point, please text me the name of your favorite movie.

8. Social Friday 2/26/16 - We will have dinner at 7:30pm and head up to 2729 Dwight Way #302 for a kickback at 9pm. These were the two most popular social ideas, and this was the best day for most people. I understand it's a little short notice, so if you are coming, please let me know via text by 2/25 @ 2pm. If you are not interested in coming, you do not need to let me know. 

We need to get a move on in terms of confirming businesses, orgs, and speakers to come - we cannot advertise or figure out the logistics of the event without them. I know this is a lot of information, but hopefully it will be helpful. Please don't hesitate to ask any questions, and let me know if you need anything else.
