1st SF-MET Officer Meeting 1/17/2012; 9pm conference call
Present: Tiffany, Jenny, Ken, Arthur, Bonnie, Kathy, Yang
1) Go over the responsibilities for each role:
• President: Greeting guests, networking with other toastmaster clubs,
area governors, ensuring that operations of the club will run smoothly
• VP of Membership: Update new members contact information (email,
phone number, name) on Google docs and invite them to our meetup,
facebook and google group for future announcements; sign-in sheet
Ken will give the money and applications collected to Kathy tomorrow
1/18/2012.
• VP of Education: EasySpeak software; video record each meeting and
upload on the web
Currently both Arthur and David are interested in this role, Ken
suggested that we could do Co-VPs of education.
VP of education keeps track of everyone’s progress. If someone
finishes the CC manual, VP of education is also responsible for
submitting the forms.
VP of Education is responsible for video recording and uploading it to
the web.
Jenny will show Tiffany and Arthur how to upload the video to the web
tomorrow or next Wednesday.
• VP of Public Relations: Update meetup and facebook page with
information on free mandarin class that Jenny is offering and exciting
award winning speakers that will be coming to our club
Immediate task: To update the meetup and facebook page
Back up person: Tiffany
• Treasurer: Collect membership money and report finances back to
officer group.
Currently, no one is in charge
Money/ collected fee go to the club’s bank account and the rest will
send to Toastmaster International.
So far, Ken collected 10 applications.
• Secretary: Meeting minutes for each officer meeting
Responsible for uploading the minutes to Google-doc

• Sergeant of Arms: Greet guests at each meeting, order materials from
Toastmaster International (banner, booklets, ribbons, etc)

2) Status update on possible new meeting location
Starting 2/1/2012
New meeting location: New York Life Office (5 min from Embacardero
Bart Station)
Meeting time: 6:30 pm to 8pm

3) Upcoming officer meetings?
For the first 3 times, we will be meeting weekly on Tuesday at
8pm-9pm. Today counts as the 1st officer meeting.
After that, we will meet on the 1st Tuesday of every month from
8pm-9pm.

4) Officer training at District 4:
Bank of America 630-8pm on January 26th

5) Other Items
• Every officer should meet and greet guests. Photographs should be in
good quality to help publicize the club.
• Encourage friends and alumni to join the club.
• Also, encourage people to attend the free mandarin class which is
held prior to the toastmaster meeting.
• Members of the Asian Society are very interested in SF-MET. Perhaps
we can help promote their mandarin class on Monday and they can help
us promote our class/ Toastmaster.

Hi All,

It looks like you had a great meeting! One of the areas you really want to focus on is club-building - Outreach at this point is crucial to the success of this club. May I ask: what are all the avenues you are currently pursuing? I'm wondering if there's something we at the District level can add to your efforts, but I'd need to understand what's being done first.

Also, please place the focus on the members and guests first and foremost, rather than having seasoned Toastmasters who are not members of the club speak. It's very important to remember that the benefit from Toastmasters comes from doing, not watching. As a peer-led self-improvement organization, we want to encourage the people in SF-MET (members and guests that may be on the fence) to step out and step-up as speakers, TM's, and other roles of the meeting. 

Just know that the secret sauce in a successful Toastmasters club is in the participation of the people there, rather than recruiting people from the outside.

Hi Rita,
 
Thanks a lot for the feedbacks and your continuous mentorship for the SF-MET club. I agree with you that we should give more speaking opportunities to new members instead of having the same members speak over and over again. We should perhaps start volunteering members for speaking roles starting at our next meeting.
 
At the district level, do you think that you can help us advertise the SF-MET club to other district governors/area governors/club officers. Is there any channel for doing this since i am fairly new into the officer role of Toastmaster? Some of us are thinking of attening the club officer training at Genentech/Bank of America later this month and we will definitely promote this club to other members in the area.
 
One other avenue I was thinking of doing and I can definitely chair this effort is to partner with local universities such as Berkeley Extension, SF extended learning, community colleges that currently offer Chinese language classes and ask the instructors to advertise to the students that SF-MET exists. I am also part of the PMI institute and I am planning to advertise via that channel.
 
The current channels that we are pursuing to advertise the club are advertising via our friends, co workers and other Asian relate meet-up groups in the area.

Hi all, 

Looks like we're making great progress. I'm fine with a co-VP position and helping out with anything other than treasurer. I've also been trying to get my friends at work to attend the meeting since I know quite a few that has a desire in improving their Chinese. I do agree with Rita on that active participation of the people that's already there will help us create a solid foundation to grow, so I'll definitely help out wherever I can.

Who are we working with from Asia Society? I know quite a few friends there, and am active with quite a few other young professional clubs around SF (Cal-Asia Business Council, World Affiars Council, TAP, NAAAP, CAAEN), and I'll start put in a plug for SFMET whenever I meet someone that has an interest in improving their mandarin/english. I think we have a unique club that can will can be interested to many others around the area.

Next week is really hectic for me so I won't be able to make it for the call and meeting, but I will try to drop by early on Wednesday to get an update and pay my dues in cash.
