Dear Jaime,
Hanna Fagerström, NS, Servas Sweden, asked me what has happened to this matter, that she emailed you on behalf of the swedish board on the 12th of June.
She can't see that she has received neither a confirmation that you have received the email, nor an answer to the questions.

Regards
Jonny

Subject: Question to EXCO, guideline

Ämne: Question to EXCO, guideline

Dear Servas friends in EXCO,

The board of Servas Sweden would like to know where we can find  information about how to work with complaints (for example how to work when one traveler has received complaints from a host).

1.       Are there any kind of guidelines about how to handle complaints? If yes, please send it to swe...@servas.se

2.       We know that it does not happen often, but, if a person gets expelled from the organization, for how long will that last?

Rest of life or for a number of years?

What does the regulations of Servas International say about this?

3.       If the exclusion can be timed, what actions are to take place for the person to be able to join again?

New interview with more than one interviewer? What else?

What does the regulations of Servas International say about this?

We have read through the SI Statues but couldn’t find any answers there.

Could you please send us further information or, if there is none, please let us know that and we will try to make our Swedish statues more clear for the future.

Looking forward to hear from you,

Thank you very much in advance,

Wish you all the best!

On behalf of the board, Servas Sweden

Hanna Fagerström

Chairman and National Secretary

In general, there are 2 motions in the distant vote process of nov 2013 that are focussing the purpose of SI handbook.

Inside your questions you can find my answers

1.       Are there any kind of guidelines about how to handle complaints? If yes, please send it to swe...@servas.se

The conflict resolution committee receive request about complaints

2.       We know that it does not happen often, but, if a person gets expelled from the organization, for how long will that last?

It happens in some national group a but there is not specific regulation about it

Rest of life or for a number of years?

It depends on what each board decide

What does the regulations of Servas International say about this?

We dont know any specific law

3.       If the exclusion can be timed, what actions are to take place for the person to be able to join again?

One of the motions of nov 2013 distant vote motion4 is about that

Dear Jaime,
dear Hanna Fagerström,
these answers are of importance for the project to further develop the Servas International global complaints system.
Therefore I forward Hanna's questions and Jaime's answers to Marijke B, the national secretary of New Zeeland who is also the person responsible for the project "Handling of complaints" based on the SIGA2012 decision on 24rd of August, serial no 6.
I also forward this message to the three members of tje SI Conflict and Resolution Committee (SI CRC).

This is the GA decision.

6. Handling of complaints

The Conflict Resolution Committee, NSs and other volunteers,

coordinated by New Zealand, work together to prepare guidelines on

how to act when complaints about hosts and travelers are received.

GA2012 decision on 24rd of August, serial no 6.

Dear Johnny,

It is a wonderful summer and I love hearing of the skating event you were involved in Well done you.

As to the Conflict resolution enquiry.

I have not made progress with that. There are two levels to it as I understand it.

There are a few countries that have a process in place - USA and Canada I think.

My intention was to write to every country and ask the following question with the lead line being

We in Servas are interested to to form some common understandings as to how to resolve differences between members in Servas when they arise. We understand that some countries have developed some good processes and we wish to bring that learning and wisdom together to offer a universal set of guidelines for National Secretaries to have available for their use. At the meeting in Poland the following resolution was passed.

This is the GA decision.

What processes do you as National Secretary engage in when resolving a dispute or conflict between host and traveller or hosts and hosts or between anyone in  your membership? Please offer your response including whether you do not have a process and contact details of the person who attends to these matters by June 1st 2013.

Johnny, I would appreciate assistance with getting access to all email addresses for the each member country. I know you have been in the role for 6 months. Is this a suitable way to proceed? Any comments?

On the other matter of 2015 conference - we in NZ have a committee and have been investigations possibilities and costs. I am intending to write up the NZ proposal in March. This is a complex process to predict and design so far out considering how quickly events in the world can change. nevertheless we have a proposal  which is forming.

Also you wrote sometime ago about whether the story of a woman who was abused during a couch surfing visit could be true - yes I believe that it is more likely than not that this incident occurred. What do we do about it? Servas is considered a safer option as we do interview and have a philosophy that gives us a clear purpose. Again the emphasis on the interview is paramount. Reminding people of what the interview needs to contain and how to do it is probably the key.

All the best and look forward to your comments.

Dear Jonny

Yes this decision is about complaints and is being executed by M batemburg
We would wait for the motion 4 approved in this direction too in order to add this regulation on what we Will produce as a consecuence of this GA 2012 decision

Dear Hanna

Have you seen in the SI regulations the SI functions of the Conflict resolutions committee ?

Now, one of the functions of the peace secretary is to work on the peaceful actitudes of members and to resolve conflicts in the national groups
