At the bottom of this message you find a pasted copy of Jonny Saganger's message about the ServasOnline project and the RFI. The message gives you a background to the project and the purpose of the RFI.

REQUEST FOR INFORMATION (RFI) FOR SERVAS ON LINE (SOL) PROJECT
1. General Information
1.1. Definitions
Request for Information (RFI): is a process whose purpose is to collect written information about the capabilities of various suppliers
Request for Proposal (RFP): is a solicitation made through a bidding process, by a company interested in procurement of a commodity, service or valuable asset, to potential suppliers to submit business proposals.
1.2. Introduction
Servas International (SI) plans to launch an RFP for the development of its online platform called ServasOnline (SOL). The RFP will be composed of two distinct parts:
1 – SOL Graphical design
2 – SOL Implementation.
The purpose of this RFI is to qualify the organisations (companies or individuals), recognized as having the ability to deliver the services required for SOL development.
Based on their response to RFI, the SOL Steering Committee will rate the responding organisation and “short-list” those who will be invited to the RFP.
1.3. Servas Overview
Servas International (SI) is an international, non-governmental, interracial hospitality association present in 128 countries and run mostly by volunteers. Founded in 1949 by Bob Luitweiler and his friends as a peace movement, SI is a non-profit, worldwide, cooperative, cultural exchange network bringing people together to build understanding, tolerance, mutual-respect, and world peace. It promotes world-peace by encouraging individual person-to-person contacts.
1.4. Project Overview
The objective of the project is to develop an online platform for members called ServasOnLine (SOL). The goal of SOL is to provide simple and intuitive electronic access to information and services and serve as a communications tool between Servas members.
SOL will allow to:
- present information about SI;
- provide communication tools for members;
- organize individual member travels through an host search service;
- manage membership.
The SOL project is managed by a Project Manager (PM) and supported by two organisation entities:
- SOL Steering Committee (SOLSC), which is composed of Servas members and responsible for the validation of the RFP documents, qualification and selection of bidders, contracting, monitoring of project progress, final acceptance of deliverables
- SOL Review Group (SOLRG), which is composed of Servas members and responsible for providing, at SOLSC request, an end-user viewpoint on the solution (specifications, user interface, prototype, releases…) SOLRG, through the competencies of some of its members, might additionally be requested to provide a specific expertise on certain technical subjects

The criteria for the final selection of the organisation will be detailed in the RFP document. They will relate to:
- Experience
- Competencies
- Methodology
- Cost
- Schedule
- Quality assurance and risk management

2. RFI Responses
Organisations are requested to answer to this Request for Information by addressing the topics listed below.
However, any relevant document which aims at providing additional information related to the organisation’s capabilities is welcome (financial statement, references, certifications, ..)
Questions may be sent to Servas but Servas will decide to answer or not the questions, and to send or not the answers to the organisation which sent the question or to all the organisations.

as you will know ServasOnline is being developed to provide an up to date Internet based communication system for Servas members.
The objectives of the ServasOnline project are to develop a new Servas International website and to create a social networking platform with a efficient search system for travelers to find hosts as the main feature.
We are pleased to say that we have reached a stage when we will be looking worldwide for bids (quotations) from suitably qualified and experienced companies in the area of IT- and website development.
We hope you would like to give your contribution to this global project by helping us with this search.
A detailed Request for Information (RFI) will be available soon. The RFI will set out the specifications for the project and will be the basis on which the SOL Steering Committee will select the companies that can be qualified for bidding on the project.
Let us know as soon as possible if you can recommend a limited number of suitably qualified and experienced company in your country.
