Position Summary

The Program Coordinator is responsible for overseeing the administration of a range of academic and experiential projects and programs aimed at enhancing learning opportunities for students, and for maintaining the technology used in the Stanford Japan Center. This position reports to the Program Director in Kyoto.

In this role, your primary duties and responsibilities will include:

STUDENT SUPPORT SERVICES (70%)

Develop and coordinate a comprehensive program of off-campus volunteering opportunities for students, identifying suitable local organizations and working with them to ensure high-quality experience for students.
Arrange transportation, venue admittance, guides, translators, catering and other practicalities as required to support academic field trips and other special academic events.

ADMINISTRATION (30%)

Manage the IT vendors and liaise with the home office regarding technology support; assist in classroom set-up for lecturers.
Manage a language partnering program, working with local university faculty and students.
Design and implement an outreach program to publicize the activities of the Stanford Program in Kyoto and the Stanford Japan Center, manage social media platforms and other online and offline resources.
Work with local alumni groups and coordinate quarterly joint student/alumni mixers.
Manage occasional and distinct special academic programs, forums, and conferences for the center.
Take turns with colleagues to be reachable and ready to respond to student concerns 24/7. In the event of an emergency, respond promptly and work with the Director and other staff members to provide appropriate support.
These duties may be adjusted as needed to suit the business and academic needs of the Stanford Overseas Studies Program.
To be successful in this role, you will bring:

EDUCATION AND EXPERIENCE

Four-year University level degree plus five years of relevant professional experience.

KNOWLEDGE, SKILLS, AND ABILITIES

Near-native Japanese language proficiency, both oral and written.
An advanced level of fluent English skills both oral and written to enable effective communications with those whose primary language is English.
Advanced knowledge of Japanese culture, history, and business etiquette.
Proficient computer skills and demonstrated experience with office software and email applications.
Strong organizational skills with the ability to manage time effectively and complete assignments within designated deadlines.
Demonstrated ability to establish priorities, manage shifting priorities, and handle numerous time-sensitive projects with multiple deadlines, working independently and collaboratively as appropriate with professional colleagues both within the center and abroad in a team-oriented environment.
Ability to develop and lead new initiatives without existing templates, demonstrating comfort with ambiguity and confidence in full project ownership.
Strong attention to detail with a high level of accuracy
Ability to accomplish goals working through formal and informal channels, with diplomacy and tactfulness.
Demonstrated creativity, problem solving, critical analysis, initiative, judgment, and decision-making skills.
Understanding of working in a complex university or similar environment with proven ability to exercise patience and flexibility with students, parents, staff, and faculty and outside constituents.
Awareness of and sensitivity to the diverse population of Stanford University students
Strong interpersonal skills, adept at fostering and maintaining effective collaboration, trust, teamwork, and respect.

PHYSICAL REQUIREMENTS*

Constantly perform desk-based computer tasks.
Frequently sitting.
Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds or 5 kilos.
Rarely twist/bend/stoop/squat, kneel/crawl.

WORKING CONDITIONS
