Just a reminder that Earthfest meeting is Saturday, 12-2pm at Watermark books.
 
Minutes:
 
ESK meeting was 9 am March 28, 2015---Next meeting is April 4, 12 – 2 pm @ Watermark, as is the meeting on April 10.  Below are March 28 meeting notes from Ellen (me), our secretary
Panel content:  Folks, what are your concerns that you want covered?  Think about it, let’s brainstorm.
Poster—will do a few 11 X 17, and the rest 8 ½ X 11because of space constraints on many bulletin boards and such.  Plan is to get posters done by April 4th, meeting
“Vendors”--More are confirmed now.
“Sweet Cheeks” confirmed as booth and sponsor--and John meeting with her on site some time to determine site for her diaper even and booth
"Vegan group"—they will have lined up volunteers by next meeting
"Cromwell Solar" confirmed and a sponsor—they’re from Lawrence and they install solar collectors and help customer keep cost down
"E-recycling" confirmed
"ProKansas" confirmed—Mary Dell arranging with them
Rain Barrel company is confirmed
“Kaw Valley” confirmed now—John is using a truck to pick the plants up on Fri. April 17,   possible plan is to take the plants to his Mom’s house or somewhere else, Ellen (me) will help pick up the plants, and Mary will cut apart the plant containers, but….not sure who will take them to Earth Fest on Saturday…TBD "Swap table"—Ellen (me) and someone else (for my breaks and such), plan probably to put close to Vegan table again, so Mary be that someone else and ???
"Wichita Independent Neighborhoods" (WIN) confirmed with Geri Watts; John will ask her about maybe having literature on SCART (an animal response all-volunteer group) and maybe SKARE (vet connected)
Jennifer Winn—probably will have a booth, though not confirmed

Bee keeper— Lori contacting.  Update—Bee keeper contacted,  so confirmed

Spin Paint art— Folks: we need large pressed board boxes (like cereal boxes), John will probably bring one next time as example.  John is working on, uses foot power (a treadle), uses paint, paper, spray bottles and cardboard (for protecting); Lori getting clothes pins to hold paper in place (then give clothes pins to moms)
Bean bag toss—learned that hard to get them thrown through the holes of board, kids will just throw at the boards, we’ll decorate the boards and somehow enclose the bean bags with decorated fabric (??) with recycling pictures (i.e.- paper, glass, etc.)
Picture booth—put face through hole for photo taking, John and Kent working on the boards
Sponsors—Cromwell, City of Wichita (need them), Sweet Cheeks, Sierra Club
Opening—in progress
Water for drinking—Lori will bring a big water container and is checking on earth friendly cups
T-shirts for volunteers—Lori is doing well on this, see the email conversation about the great design; Kent and Jennifer lined up Hemp Shirts, they are on the way, $10 each, maybe 25 of them??
Banners—Lori is working on design, see the email conversation about the progress

I did not think iTunes were ment to be recorded.
You may have to take the audio output to a descrete audio machine, that does not share digital intertie.
We will work with what you have, and I will bring some relics.
Steppenwolf and Buffy Saint Marie sang about the same problems 45 yeas ago. What progress have we made?

The CD with environmental protest songs is not going well. I do not know how to get songs from itunes to a CD. I don't know how much more time I can devote to it. I DO have the CD from Bold Nebraska:Stopping the Pipeline Rocks. Some of those songs are great! I love Ogallala Aquifer and This Land is Your Land!

There are many more songs out there including old TV commercials. I just do not know how to save them and itunes cannot help since I have a PC and not a MAC. If you know how to do this I can get you a CD to record onto and can forward some titles.

Actually, you should be able to record iTunes songs onto a CD. I've done it lots of times but it's been quite a while back. (pre-iPhone days :-))

First you have to create a playlist (and I can instruct you from a Mac - I assume iTunes is similar on a PC). Select (highlight) the songs you want to put on the playlist. Then go to File - New - Playlist from Selection. Then it gives you the opportunity to name the playlist. Click the "Done" button. Then, at the top of iTunes, there's a listing of Radio - Songs- Albums-Artists-Genres-Videos-Playslists-Match. Click on Playlists and you should be able to find the playlist you created. Then go up to File and click on Burn Playlist to Disc. It will ask you to insert a CD and, assuming there is room on the CD for the number of songs in the playlist, it will burn it. If there is insufficient room, it will let you know and you have the opportunity to either cancel and eliminate some songs or to go ahead and burn all of them and it will prompt you when you need to insert another CD.

Let me know if this works for you, Lori. If not, let me know and I'll see what I can do. I'm not sure about saving songs and commercials though or how to get them into iTunes. Once they're in iTunes, I should be able to burn them on a CD. I can also see what songs I may already have in my library which would be appropriate. I'm sure I can come up with something!

Do you know what the title of the commercial is? Unfortunately, I couldn't find either of the other songs on iTunes. Of course there are lots of other artists on iTunes that perform This Land is your Land. I have the Woody Guthrie version in my library, but the sound quality is pretty poor.  But I think I could easily fill several CDs with my earth and eco-related songs. So I'll bring at least 1 or 2 CDs.

The weathermen are saying a chance of rain on Saturday. I hope that they are wrong. If we are not rained out, then I will see you, all, Saturday.
 
On another note, unfortunately, I will not be able to attend any more meetings or help with next year's EarthFest. I am having to give up my volunteer work to help more with the care of my Mom. I will miss you and I hope that you have many more EarthFests.
 
Everybody have a great EarthFest VII event on Saturday!!

A couple of us have started to address the idea of rain this Saturday. How much we pull back with no indoor alternate. We have food trucks that have to buy food for event, one out of town exhibitor.
I have a tv interview just after noon. I believe somebody said was being updated, not sure if I can tell public to refer to Earth Spirit web for update.
We may not have chance for group discussion, but I look to all of your comments for strategy.

We have always had the attitude that it's an outdoor event, just like a farmer's market, and exhibitors and such need to be prepared to deal with the weather.  While the food trucks I somewhat understand.  As for only being Wed.,: as a former Ag. surveyor, I know weather can change radically day to day; so I've been watching the weather very closely.  Last I saw, the thunderstorms weren't to hit until afternoon.  I get back with more thoughts later.  Remember intent, please.

Hello all, sending you my meeting notes so we’re all on the same page.  I know we’ve been having a discussion about the weather for Saturday, but let’s keep going forward until we know otherwise.

Jim said he would speak 2 or 3 minutes first about his research on air quality.  We agree  that this would get the ball rolling and give additional ideas for the panel to respond to (in addition to our “seed questions”).

Political—update: John Carmichael (KS rep that’s on energy committee) will be there
Jack Brown or other Medical perspective person was still unconfirmed as of the meeting time
Lori said in an email that she would bring 4 folding chairs for the stage.  Folks, we still need to come up with “seed questions” for the panel.  What are your concerns that you want covered? 
                Lori’s concerns: Let’s talk about “incidental” methane from fracking, ozone problem due to range burning and how it travels to affect us here in ICT.
                We discussed that there’s too much of the range burning and that need to burn at different times instead all at the same time (stagger the burning).  There is a website that shows monitoring of the burning at: Canal route and 21st, Sumner Cnty line, and Sedgwick Cnty.

If I have a verbal commit, I will create a space. We can collect app and fee (if applicable) up to 9:30 if they can be in place at 10:00

I also just heard again from the anti-GMO group. They intend to have a booth but just today asked me to send the exhibitor application again so you don't have it yet.

I guess Earthwise Pets decided not to do it.

Just looked at the weather on weather.com  It's looking better, By the start of Earthfest, 10 am, it's only cloudy with 15% chance of rain; the percentage doesn't start to climb until 2 pm (50%).  So looks like most of the rain is on Friday and into the wee A.M hours of Saturday.  I'll keep watching.

I know it's early in the day, but I'm wondering when a final decision will be made. According to what I'm seeing on my weather apps, it looks like the morning should be cloudy but okay, with storms developing in the afternoon, sometime after 1pm. Of course we know they couldn't be wrong! The only reason I'm asking is because Kind Kravings (and I'm sure Funky Monkey also) is needing to start purchasing and prepping for tomorrow soon. So I was wondering what everyone thought.

I spoke with John a few days ago about the event and rain. Here are my thoughts.
 
First, I want to concur that I am hearing ok in the morning and rain in the afternoon. I would continue to watch the weather reports. John will have the ability to check weather radar during the day. I will bring my weather alert radio (This only alerts you to severe weather).
 
I told John that if for some reason it is raining during the setup time (7-10am) that we should strongly consider canceling the event. I feel that we will end up loosing a lot of our exhibitors. Those that don't have a canopy will probably cancel. Some with a canopy might not want to stand in the rain to set up. Of course there are some factors to take into account (How long the rain is expected to last).
 
During the day, it will be up to the committee to decide. If the radar shows that the rain is going to be around for a while, then we should consider canceling. People are not going to come and walk around the event in the rain.
 
I told John that the committee will need to discuss about fee returns if we cancel.
 
I am hoping that everything goes well tomorrow. We have had 6 Earthfests and have not had to cancel any of them. I am hoping to be at the park by 8:30. I will see you all there!

Sorry I have not been responding last few hrs. Have been picking up truck, banners coffee urn etc. looking at ground conditions we are likely going to move stage to concrete pad next to parking lot, closer to food trucks. Ground is to soft for stage, but not mushy under foot. We do have more rain coming this evening. I will to to accommodate if exhibitors want to move to concrete pad around pump house. I will be talking to parks dept maybe 3:30 to get their perspective. I will post after talking to parks. I have weather on my phone so if we set up and have storms develop during day I will advise all.

Yes wind may be factor on stage. Many exhibitors have paper flyers, handouts, info, rain not good there.
As I see it this would be best for the rain barrel guy, show how well they work, then again I don't think he wants to take home full barrels.
More minuscule thoughts later, after I get this truck loaded.

I agree about the wind & Lightning. Last weekend, our canopy became airborne and shot across the parking lot. The canopy was weighted down. It almost scratched a couple of cars. It is dangerous to be out in lightning especially on a metal stage.

Just spoke with parks. They will be out at 7 to put up stage which will be on concrete near parking. Wind not an issue below 30 mph. Have not heard projection of rain amount. Ground may be mushy, think about what shoes will work best. I vote barefoot.
 I did hear the KC event cancelled.

Right now, Channel 12 is saying that it isn't going to be too windy on Saturday, 5-15 mph. They did say that the winds will pick up with a thunderstorm.

I won't be able to make the meeting next Saturday. I did want to send some of my suggestions. I hope that they will make for a better EarthFest. Hello all, here are my “debrief meeting” notes.  Debrief ESK meeting was on May 9, 2015 at Watermark Books.  For our agenda we followed Stuart’s suggestion emails; so I will have his comment, then indent and put our discussion of it.  (I apologize: I didn’t keep up quite as well, but did what I could).
Our next meeting is June 6 at 1 pm, the location is still being nailed down—update soon by John.  Agenda: is continuation of discussing Stuart’s comments email.  So folks, please bring your copy of Stuart’s comments email, if you still have it.
 
Minutes:
First of all: we did have successes.  The food trucks sold all their food and the Kind Kravings vendor was very happy—she said it was a good introduction of them to Wichita.  Also, the plant giveaway went very well again, though there were complaints that we didn’t have veggies (we’ll take care of that issue for next year).  Also, all the exhibitors stayed for the day and were happy with how it went.  And, once the rain stopped (after the first hour) there was a continuous stream of people—137 people “unofficial” count.

            We said that we need to mark the requested sites and then just have other            exhibitors just choose their site, “first come first serve.”  Also, maybe having the     exhibitor bring a sign to direct people.
 
·         Need follow up with exhibitors and vendors, now!
            We agreed with this comment.  John said he would follow up with Kaw Valley and Ellen             said she would check with Sweet Cheeks (oops, I need to get on that).  Others said they     would too, but I didn’t catch the details.  Also, Connie and John will work on form    letters—one for exhibitors that came and one for those who couldn’t make it there.
 
·         For 2016 need to book musicians, develop panel discussion & classes, now!
            Yes, we said we need to plan this sooner.  However, we need to nail down our theme       first.    
 
·         Continue to work on event year around and not wait until the month before to start things.
            We talked about working on the event, starting in August, but promote at small     events before that.
 
·         Need barricades for parking stalls for e-recycler & Food Trucks.
            We discussed this, said it made sense and we need to work on this.
   
·         Develop a more structured panel discussion
            Many of us thought the panel went very well, with much enthusiasm by panel and “audience” with much back and forth between panel and questioners.  But, we thought some more       structure might help.
·         Strengthen Earth Spirit Kansas Coalition, or partner with other organizations, to have more volunteers
            I asked, “How?”  We discussed this topic quite a bit.  We discussed partnering with the church on    21st across from WSU.      Jennifer said she could contact them.  We decided to have her contact           them to see if it’s a possibility—not as a sure thing—we decided we need to discuss more.
 
·         Consider moving to a new location either another park or private location.
I have talked with a few people about this issue. I like Herman Hill Park except for parking. There is not enough parking with the e-waste truck and food trucks. If you decide to stay with a park, then it should be part of a residential neighborhood. It should also be near the center of town as possible. Of course should have more parking.
 
On moving to a private location, from my experience, there are some headaches doing this. The Sierra Club thought about having an event on the pavilion at Exploration Place. There was a hefty charge to use the pavilion and Exploration Place wanted controlling say on how the event was run. I think that you will find most private places are going to be expensive. You will need to also decide if you want to continue the event outside, move it inside or see if you can have an indoor spot in case of rain. You should also need to continue discussions about having a rain date.
            See previous discussion.  Also, we discussed the parking issue.  Our ideas for parking are: a             shuttle,             reserve city trolley cars going back and forth from Walmart (we’ll have to do some   “smoozing” on this probably) J, or Party Bus.  We decided we needed to discuss this more        later too.  Also, we discussed having a “rain date,” which we all pretty much agreed on.
 
As I stated in an earlier email, I feel that it might of have been good that we didn't have the kid's activities at EarthFest. It seems to me that Earth Spirit Kansas Coalition didn't have enough volunteers to run these extra activities. I do think that to be successful EarthFest needs to expand. It is up to Earth Spirit Kansas whether they want to strengthen their organization or partner with another organization to get more volunteers.
            We discussed that, yes, it’s important to have children activities.  And we definitely need more        volunteers.  I mentioned, as a floater I was not able to talk with the exhibitors as much as before             and had to cut conversations short—which was part of the volunteer shortage.  One contact of        mine said she wasn’t sure if, with the rain, if we would have the event.  For children activities, Melissa Long, the afterschool director at St. James Episcopal church on Douglass, couldn’t help this year, but would be willing to help next year.
·         If staying with a City park then continue looking at booths being allowed to sell things.
I do think that doing this will make it easier to get organizations to have a booth at EarthFest. I didn't pursue this, but it looked to be a simple procedure.

I really do wish we could allow people to sell stuff! The transient merchant's license is the barrier to that. If we have to pay for it their booth space could be more costly which might be okay if they could sell.
 
Stuart’s answer:
The form states that it is $10. That would be per booth that wanted to sell things. We would have to talk with the City and make sure that there are no other hurdles.
                We discussed this at length.  We need to find out if we can sell in the park.  We discussed giving                the exhibitor a choice of continuing with “donation” option or obtaining a transient merchant            license—so having a mix of donation and transient merchant license.  We also discussed us                talking with other groups, how they handle vendors selling, for example the KS City Earth Day             organizers, and other groups we come up with.
Other items:
Dianne mentioned concern about the Restroom at the park.  There was no toilet paper and no soap.  She suggested we check the RR facilities ahead of time.  This time not having a Porta Potty was no problem (Connie asked us about this); but, we need to make sure RR is available for the event. 
When close to next Earthfest, John plans on writing up check list and procedural points. 
I (Ellen) said I could continue being the secretary for the group and working with someone on doing agenda for each of our meetings.
We are targeting April 23 for next Earthfest—but still up in the air.
