I would share few observations with regard to management of CGHS,
where RCS may like to issue guidelines/SOP for betterment.

(1) At present, there is no procedure to give a serial number to the
general body meetings. As a result, it is difficult to keep a track as
to how many meetings have been held or whether minutes of all the
meetings are available without any miss? Even meetings may be called
in a non-transparent manner which many of the members would never come
to know. Without a serial number many would not know the conduct of
any additional meeting.

(2) There is no standard hand over procedure, leading to skirmish
between outgoing & incoming management committees. Non-hand over of
records is a regular problem faced by many societies. In the absence
of any direct SOP no one is held responsible and society at large
suffers. Neither there is any suggested list of documents or timelines
issued by RCS for hand over.

(3) The timelines are also required to be prescribed for circulation
of minutes of any GBM. In the absence, MC are found unwilling to
circulate minutes on the ground that there is no last date. A
procedure to circulate the minutes through website is there but
societies are found reluctant to design this, accordingly RCS may
please issue dead line for creation of website and issue direction
that till then circulate minutes through notice board, email and
whatsapp groups.

All above matters are only tip of the iceberg which in due course pave
way for larger issues in society management and ultimately burdens RCS
office in the form of complaints & counter complaints.

Accordingly, it is suggested that standard procedure/guidelines for
above may be issued by RCS, which shall be helpful in promoting peace
& harmony among members and ultimately reduce the load with RCS.
