CongressCamp Food and Supply Costs Guesstimate

In looking at the current list of 170 attendees, my best guess is we
will be around 80-120 people for the event.

85 ATTENDEES A DAY ESTIMATE
For 85 people (based on CrisisCamp figures), the costs would be as
follows:

Coffee - $600
$100 a container, using 3 each each day, with coffee supplies
(half&half, sugar stuff, stirrers, etc.). Starbucks is close and was
the cheapest. We had leftovers here. Should have bought two in the
morning & one in the afternoon (got all three in the morning).

Pizza - $600
$325-$350 a day for about 25 pizzas.

Bagels/Cream Cheese - $100
$100 from Einstein, lasted for both days ($50 a day)

Soda/Water - $100
$100 from Costco with additional from Gov20 Camp. We had soda
left over, but ran out of water. Leftovers from PrivacyCamp - 36 cans
diet pepsi, 32 coke shrinkwrapped, 32 cans assorted coke/sprite

Bags of Ice - $20
$10 a day

Total - $1520


I didn’t include salad costs, but we can ask the pizza place for
this. I’d guess this is another $30 a day or so.

120 ATTENDEES A DAY ESTIMATE
At 120 attendees a day, we might need the following:

Coffee – $800
$400 a day (3 morning, one afternoon)

Pizza – $900
$450 a day for about 33 pizzas.

Bagels/Cream Cheese - $130
$130 from Einstein

Soda/Water - 130
$130 from Costco

Bags of Ice - $20
$10 a day

120 SATURDAY/85 SUNDAY ESTIMATE
Realistically, I’m guessing we get a decent drop-off on Sunday
(especially with the NFL starting). So if we have 120 on Saturday, we
should probably plan for 80-90 on Sunday. If so, our costs will be
like this:

Saturday Coffee – $400
$400 for Saturday (3 morning, one afternoon)

Sunday Coffee – $300
$300 for Sunday (2 morning, one afternoon)

Saturday Pizza – $450
$450 for about 33 pizzas.

Sunday Pizza – $350
$350 for about 25 pizzas.

Bagels/Cream Cheese - $120
$120 from Einstein

Soda/Water - $130
$120 from Costco

Bags of Ice - $20
$10 a day

Kirkland forks/knives (360 pieces) – (PrivacyCamp): Free

Just a quick reply, the 85 person a day estimate is actually $1520 as
I stated, but I put $600 under pizza instead of $700 when I transposed
this from a spreadsheet (I originally had all this in a spreadsheet,
but then realized I couldn't upload a file).

Bagels - I checked around, and probably underestimated the costs, or
I'm planning on buying too much. For 10 dozen bagels (120 total) and
cream cheese assortment, its going to be around $140 with tax.
Perhaps I'm thinking of buying too many - someone let me know if I
should buy less. I am just concerned that perhaps the amount of folks
may be high enough we need it.


Last issue - do people have coolers they can bring for the drinks? We
probably might need more than two ice things per day as well - we'll
have to see.

Also, regarding the Pizza and Salads,

I just called the local Dominos that serves that location.  For 24 pizzas (and up) the price seems to be like 9.99 each.  So that's good. The problem is the salad - they only serve those individually for $3.99 each. We can get our order in on Saturday by 10:00-10:30 and have no problem with them meeting it.  Does anyone know a pizza place around there that does bulk salad purchasing?

BTW, I can bring one cooler, but we definitely need more.

Just a thought - we could get the salad bags at the grocery store and get some dressing or something and store them in the fridge.  This would mean we need a large bowl (I can probably bring something) and plates.   Thoughts on this?

I'm picking up 2 big ice buckets from Corbett right now, so that's solved.

The purchasing salad idea is good, but you may want to press the Domino's guy also - tell him that last time we did this, they gave us a deal and made up big salads for us.

If you're gonna get dressings, I guess I'd get about three different kinds - italian, ranch, blue cheese, french?

OK,

So here's the update - after talking with Wayne we decided to get a
good bunch of salad, salad dressing, and various munchies for folks
throughout the day. This boosted up the costs another $200 or so,
but I think we're still well within our budget.

Salad & assorted junk food purchase: $171.99.
- This includes 5 "feed 16" salad mixes, fruit snacks, fruit bars,
trail mix bars, candy, cookies and rice crispy treats.

5 different types of Salad dressing, including a fat free and a low
carb one. - $18.40

So the food/supply totals to date:

$126.50 - drinks
$29.76 - Napkins, cups, etc.
$51.38 - Office Supplies
$171.99 - Salad, munchies
$18.40 - Salad Dressing
$146 (approx) - Bagels/Cream Cheese

I talked to the Tonic guys again today, they said that only the third floor area is closing for another event at 7:30 but that we can migrate to the second floor bar if people want to stay later.  I didn't order any advance drink tickets-- it sounds like the budget isn't totally set and we can do that tomorrow if we want.

No worries, I'm still trying to get them to give us a better drink special.  There's a new Elephant and Castle on 19th and I street that is less expensive...
