Notes from Meeting 3/21 and Housekeeping issues

On Saturday we had a meeting. Only me and Jessica (awesome job with
the venues!) attended. I know many of you have other obligations, and
I really appreciate that you have volunteered to join the committee,
volunteering your time, however I think it is important for us to have
meetings, and everyone to join.

For the next meeting, how does April 4th at 3pm sound? If another day
during the weekend works better or a different time works better,
please let us know, and if you cannot make a meeting, please contact
me like a day in advance so if not many people are available we don't
have to go into the city for a meeting. I don't mean to put pressure
on you guys and being obnoxious but I feel that it is important for
all of us to put in hard work so it does not only fall on a few
people. I will make a posting on the facebook in case more people
want to join the committee.

Ok so sorry about the kick in the butt, and here is what we discussed
during the meeting:

We discussed putting the names of the remaining 240 names on the fb
group and asking people to send us their email address. Also, I think
we should still divide it up and personally send people fb messages
So after I put the list of names on fb, please pick a chunk and send
people fb msgs asking them to send their email address to our email
address.

As far as invitations go we discussed maybe just getting colored paper
and sending fliers (i can print stuff at school and Jessica may be
able to get paper at work). We can send an envelope without a stamp
and ask people to either send it themselves or give a link to the
evite page as someone had suggested previously.


Eventually we have to create an account. It should be something where
we have a number of our signatures, and everything can go through that
account (like the paypal). I think we should maybe have two accounts
and only link one to paypal so we can transfer money to and from to
keep it under the $500 limit?

This is a summary of the research Jess did about the venues:

Venues:
Katwalk:
• Rent out entire space for $1500 including open bar (does this
include all drinks for everyone?)
• 350 maximum
• Food is free for first hour: and $10 food per person for an extra
hour (20 dollars per person for total 3 hours)
• The spot is being held for us, but eventually we have to give them a
deposit.
• Need to be out by 9

Touch
• 150 guarantee
• Well brand open bar: $63 pp (4 hours)
• Catering is additional $25
• Bartending is included, but tax and gratuity

Boat Basin
• By the water
• Restaurant, don’t close entire place but they have a space
• Price food by like 100 servings
• Hourly open bar: $16/person per hour
• $150 gratuity per bar (might need 2-3)

Union Bar
• $20 pp for top shelf open bar
• 4pm-8pm
• So in the end it is $30 per person per hour


Talk toCarla about making invitations (jessica suggested that Carla
might be interested in designing them)

Paypal: make an account somewhere

PS 450
• No room rental fee
• They can close the venue
• 4-8 pm
• Need to discuss pricing


Museum: Maria Mello works at the natural history museum and was trying
to get information to us. (an email just arrived from Jess that I will
forward to you soon).

Jess took me to Katwalk and that venue was really cool and was the
cheapest option, so once she gets some more details and if the museum
does not work out I think that would be a good option, because it is
centrally located and stuff.

Personally that would be really awesome if it was in our price range
(max around $60 per person including everythingish).

Hey guys,

Sorry I missed out. I totally forgot, and was on a trip with my aunt
who's visiting from Belgium. She's only here for 2.5 weeks, and the
only day I get to spend with her is on Saturday since I work on
weekdays and have classes on Sundays. So I'll be unavailable on
Saturdays until after April 6th, when she departs.

As for the invitation, sure, I'd be happy to design them. Just let me
know what you guys have in mind and I'll draw up some mock
invitations.

Thanks for getting back to me.

For the invitations I think its just going to be black ink on maybe
colored paper, basically we dont have any specific info so
unfortunately you cant get started, but thanks so much for offering to
design them, I'm sure they will be awesome!

Also, thanks so much to Connie for contacting people on the google doc
list!!!!!!!!!!!!! Awesome job. Hopefully everyone will get a chance
to contact a bunch of people this week.

I was wondering what we were going to do about those two ppl that expressed interest in coming to the reunion even though they only attended 3.5yrs with us. Because if we decide that we are going to invite them then we would need to get their addresses and emails as well.

So far I've counted about 3 I think just Miguel, Anaam, and Nick. We
could just fb msg them individually but also put up a wall post or a
new topic just in case there are a few more we may not be aware of.
This is of course assuming everyone is ok with sending invites to
class of '04 classmates vs strictly class of '04 alumni. Also I think
it might be a good idea to make another thread and list the people who
we haven't been able to find on FB or anywhere else after we finish
sending out the FB msgs this way hopefully some people from the group
are still in contact with them and will forward them the info.

I personally think since its really only three people, we should
contact them directly and work something out. because they might not
even be willing to pay to attend the event. I mean it is just goign to
be at a bar or somewhere for drinks, and since we are not affiliated
with the alumni association directly, i dont really see a problem with
it.

Thats just my opinion.

Hi ladies!

Sorry, I don't think I understand why they might not be allowed to
join us. Can someone please explain? Danielle said they might not be
willing to pay, but if we let them know that they would need to buy
the ticket, and as long as they are will pay their ticket price, I
don't see why they can't join the 5 year reunion, regardless of
whether they graduated with us or not...

Personally, I think we're making this more complicated than it needs
to be and I echo Carla's sentiments. Regardless of whether or not they
graduated with us, at one point in time they were still a part of our
class. If they feel like there are people in the Class of 04 that they
want to see- then let them come. Clearly they'll have to pay for their
ticket- there's no reason for them to not pay just because they didn't
graduate with us. If they don't want to pay, well then, that sucks for
them. I know that sounds kind of harsh but oh well.

In any event, lets just extend the invite and leave the decision up to
them...we don't need to get bogged down in the semantics.

On another note, I FB messaged the people in the first two color coded
chunks on the list. It just occurred to me that FB might have a
feature where they shut your account down for too much messaging [it
could be construed as spamming], so I just wanted to give y'all a
heads up about that when you're doing your own messaging. I'm not
saying it'll definitely happen but it's something to look out for.

Lastly- Katwalk seems like a pretty great place to have this event
assuming we fit their max cap. It kind of sucks that we need to be out
by 9 but I guess that will give people the chance to get together with
their own friends in smaller groups for a more personal reunion of
sorts.
