Hi everyone I'm new to outreach, I was in youth services for 7 years and just started in outreach.  I have a question those of you that do agency stops, do you have any agencies that only take discarded books?  We have a few places that don't allow checkouts but do let us leave discarded books and we refresh them monthly.  I'm trying to figure out how to include these in our circulation stats or if I shouldn't include them.  Thanks!

Yes, we call these deposit collections. We completely discard them and mark them so we know they're part of the deposit collection. We usually take a large number of them to the agency, and then switch them out either on a reoccurring basis or as they tell us they need more. Sometimes the residents prefer us to pick the books out for them individually, so we just select from our deposit collection for that as well. I just keep track of how many we take each time. I used to also track how many we brought back, but I no longer do that. I put these numbers in my monthly report. Overall, the circ stats aren't included officially in any other records, but I have the numbers to show the value as needed.

We count them as “uncatalogued books” in our statistics. So if you took 50 books, that’s 50 books for your uncatalogued books. OR you can count this way: month one you took 50 books, when you came back, there were 20 books left, so 30 are circulating. But that doesn’t count any that someone read and returned.

Hi everyone,

I am curious to learn more about gathering statistics for deposit collections. At my library, we have an 'Exchange sets' program for older adult residential facilities. We have 10-partner sites. Library staff gather small collections of 50-150 Large Print books which are checked out to group library accounts and then delivered by the library to each site. Once the books are at the partner sites, we do not track if they are actually being used. Our library administration has questioned whether the program is worth keeping. Outreach staff think it is a valuable service since these older adults may not have access to other library services. Wondering how other libraries prove the worth of deposit collections!

High Plains Library District recently discontinued all of our deposit collections to senior living facilities.  We determined that a lobby stop service model was a better use of our staff time and efforts.  This is also a more personalized service to the residents at the facilities.  We also saw a lot of loss with deposit collections since the sites didn’t track when residents took books and everything was on the honor system.

We do this with some preschools. We have them put a post it note in the ones they read. Red = don’t give me again, yellow = we read it and it’s a book, green = this book was awesome. Books without a post it did not get read.

I have been working on the bookmobile/outreach program in for 8 years. We love to use "Non-Cat" (not cataloged) books. We have never had an institute that just requested them. We did include them in our counts. We have a pines library card that is listed as a guest card. It stays behind the desk and we check these books out under the special listing of "non-cat books" with this card to people who board but don't have a library card and maybe ineligible to get a card at that time. We then list the number of books given. We accept these books back but never go to the individual and request them back. Children's books are really great to keep on board if you are doing a community visit. We have many of our regular children board when we stop within a community but from time to time a child will have a guest staying with them that doesn't have a card. It is really great to have board books, easy read as well as junior and young adult  books to offer therm. In this way nobody has to walkaway empty handed and we get another checkout! It is a win, win for us both.
