Differences between Virtual and In-Person Conference

Hello greater ABOS Community!

This is Danny Rice, Board Member-at-Large and Co-Chair of the ABOS Communications Committee. I hope you all have registered for one of our Annual Conference offerings, but know that there is still time to do so!

I wanted to send a message clarifying the differences between the In-Person and Virtual Conferences, and explain some of the pros and cons of our Virtual Conference option.

The Virtual Conference works through the Whova App (which you should all be sure to download and update before October 7th! Nothing will show up under "My Events" yet but don't panic, that's normal, it will show up a few days before the conference begins) and allows access to recorded versions of all of our Conference Presentations. One nice feature is that all recordings are available for 90 days after they go live, so you do not need to worry about multiple sessions that conflict with each other. In fact, the entire Virtual Conference could be asynchronous if you want it to be. The Whova app also allows for Virtual Attendees to participate in virtual networking and discussions/conversations about different topics relating to libraries and outreach, and allows access to the contact information of all attendees and vendors. 

This year, we do not have the ability to livestream the Opening or Closing Sessions, or our keynote speaker, so you will need to attend the In-Person Conference to view these sessions. 

There is still time to register for either the In-Person or Virtual Conference options, so please go to abos-outreach.com/conference if you still need to register. We have some truly wonderful things planned for this year's Conference, however you are able to participate.

Thanks to you I am going to be able to be a virtual attendee. I'm really excited!
Just one question... what happens to the videos after the 90 days they are available on the Whova App?

Hi Rachel,

 

So glad you are able to attend virtually! The Whova App works in such a way that they can only *guarantee* that the video will be available for 90 days, as a way to ensure people watch them when they are available. I just did some testing, and was able to view all the video recordings from last year’s Conference (though I have Admin access, which may change the permissions).

 

Either way, you can always reach out to the ABOS Board or to the presenter themselves if you ever need access to a recording after the 90 days have expired.

Danny,

Will the in-person conference goers also have access to the virtual conference? There is one presentation I really don't want to miss, but I am presenting at the same time! Thanks for your help!

Yes, in-person attendees can also view the recordings through the Whova App.

Thank you for the details on the virtual conference, Danny! We were talking about it this morning during our Outreach Team meeting and have a follow up question as 2 of us are going in person and the other 2 are signed up for the virtual conference.

 

Will the virtual conference presentations be uploaded to Whova just after the in person session, at the same time, or is there any chance that the virtual sessions will be uploaded in advance of the conference start? Our part-time staff member works on Mondays and Tuesdays, but may shift her days that week so she can catch as many of the virtual sessions as she can after they are uploaded instead of trying to fit them in the following week(s).

Hi Sheri,

 

The recordings are made live in Whova at the same time the in-person presentation begins, but your staff member who works Mondays and Tuesdays could always simply wait to view the session until the following Monday or Tuesday, as you will have access to the recordings for a while after the Conference.
