Dear ASCF Team, sorry for the delay in sending this out.

  1. We are all set with the location of the event, equipment and AHEC is now up to speed - Again.
  2. Included here is the link to the printing summary worksheet which includes links to the actual printing files. I spent last night making and updating the poster and direction files so AHEC can just print them up. This is a google sheet and can be updated with new info so I will put additional images that I get of specific projects on here as well.
    https://spreadsheets.google.com/ccc?key=0AlUlgN1ZON-mdGxBTkZnUDJoZVg4NjVid0VUbFgxMmc&hl=en
  3. I spoke with CoPirg and they already have several people signed up to help and the doodle pool should also be helpful.  SCP please click this link and enter a time that you can be at the festival to help.   http://doodle.com/fi2m8ngdqsq8vv6n
  4. Kevin will be forwarding us a PR summary that can be used to give to student life and maybe also to my contact at 9 news who came down to do a report on our last event.
  5. The printing for the cards is being taken care of by Kevin and Jonathan (myself) and I believe the files should already be in the hands of the printers.
  6. I have included a link here of the people who have already registered and their details. https://spreadsheets0.google.com/a/sustainableauraria.org/ccc?hl=en&key=tQgACY_kLFtzM9phfaljsew&hl=en#gid=0
  7. I am in the process of
  8. If you can think of anything else I have left out please let me know.

I reached out to Microsoft and Dell this morning and told them we need an answer by end tomorrow AM so we can give the final printing nod tomorrow morning whether they are included on the marketing material.

Good news, Dell has committed to the event.  Please include Dell on any and all marketing material.

I am awaiting word from Microsoft…

Kevin, is there any way KOA can mention Dell as a sponsor in the PSA and on-air live mentions?

Can we include them in the press release also?

Hi Kevin,
The only issue I see is that the SCP, the group sponsoring the event does not have a clear description in the press release.   I have created a google docs version of the file and adjust the release for the students release.  I think what we should do is adjust the title About Auraria and the Sustainable Campus Festival  and use About The Sustainable Campus Program which is the name of the group, the event name is just that.  The link to the edited file is here. I am going to ask Andy if he can help re-vamp this file with us so that it is correct for distribution format to the student population through student life lists.  Kevin feel free to extract the "about SCP" and include it in  your press release.

That is great Rob,

I suppose Metro and UCD students can and will do the same thing at their schools?

Just so everyone knows, I am not in the AHEC office Fridays or Tuesdays so do not expect to be able to reach me those days.

Jonathan, did you / and or Joseph have a chance to touch base with the “tent making” people?

Are we changing the info that goes out to include Dell as a major sponsor?

Can we add Microsoft if they agree this afternoon?

What about the print material?

I hope so.   The Auraria print team will need to take care of that, as they have both versions of the sign – with and without Dell and Microsoft.  Maybe we just keep both in case MS comes through.  Most of us are MS partners so it can’t hurt.

I agree, plus they have given me a verbal commitment as of this morning.  I believe they will pay the entire $4-5K bill for our costs to do this event.

How do I guarantee Dell and Microsoft will be included in the following?:

Press release

Printed marketing materials

Social online media

Web banners

E-mail blasts

Websites

Any description of the event…

Microsoft and Dell HAVE confirmed as sponsors.  Unfortunately, they could not confirm the amount of dollars they will provide yet. We will not know until next week.

I am hopeful they will cover the entire event but we should STILL pursue additional funding if available through Auraria just in case.  Like I mentioned in the meeting, if we raise more funds than needed than we can donate it to your organization.

Hi all,

I just wanted to make sure the SCP students and our partners knew that the festival banners and the directional signs are done and ready whenever the students are going to pick them up / start distributing them (Tyler and Jonathan know where they are available in the SAS suite)

I’m told someone already picked up the posters and is working on distributing them now.

Please join me in thanking Cheryl, Alysa, and Stefanie for all of their hard work getting the signs, posters, banners, etc all completed, looking GREAT, and in the timeline we gave them (which was VERY short). Thank you very much to the three of you, much appreciated.

As usual, I will not be in tomorrow, but will be around starting 8am Wednesday. I plan at being at the ACSC table 10am – noon and again 1:00-3:00 but will be available for emergencies, etc.

Andy
