Hey Shannon and Mike,

So the roof issue is very important and I’m hoping we can get a regular maintenance schedule going after my many, many attempts to request one. As the person who monitors the roofs and typically initiates repair calls, I’d like to better understand how we handle routine maintenance beyond reactive repairs.

Currently, I’m aware that lawn care operates on an automatic schedule, but I need clarity on the following maintenance items:
• Carpet care (monthly spot removal, bi-annual deep cleaning)
• Garage cleaning schedules
• Building-wide air handler maintenance
• Regular garbage room cleaning
• Other recurring maintenance tasks

What is our current maintenance program? I’d like to understand:
Which items are on scheduled rotations versus ad-hoc basis
Who oversees scheduling for different maintenance categories
How we can ensure nothing falls through the cracks

Having a clear maintenance framework will help us stay proactive rather than reactive, and ensure all building systems receive proper care.

I’ve been looking for an understanding of TDG’s systems for regular maintenance and even developed a list for our building but answering some of the questions above would be helpful.

I spoke to Lauren Lima about this earlier this month. Here is what I sent her:

 

“As for the drains, I’ve been looking into other drain options that might prevent blockage issues like they’ve been seeing due to falling foliage from the trees overhead as Amy asked, but any drainage option on that roof will need to have some sort of leaf guard to prevent debris from clogging the drain pipes, and we’ll continue to have the same issue. I’ve been holding out hope that I could find some solution, which is why I’ve been delayed in getting back to Amy on this, but I think the best solution to the ponding due to debris build-up at the drain basket is regular cleaning. Is there someone from The Dartmouth Group on site that could spend 5 minutes once a month or so clearing leaves from around the drain basket? It’s a really quick task and I would hate for them to have to pay for our crew to make a trip out there for the problem to be resolved in a matter of minutes. We would make sure that the area is clear during our inspections, but this is still scheduled to take place quarterly. I hope this helps, but I’m happy to answer any other questions that may arise!”

Hi Amy,

 

I'm out of town this week but we can certainly look into alternative drainage options. I haven't seen anything yet that could help this problem because any drain we install will need to have either a basket or some sort of filter to prevent debris from going down the drain, and that's where we're currently seeing things back up. I'll look into possible alternatives upon my return next week but if you need assistance in the meantime, I can send our service crew out to remove debris from around the drain.

We seem to still have the remnants of last Thursday’s storm. This issue is worse than the old roof ever was.

 

Here’s my question….Since cleaning the roof week isn’t a reasonable option and since we can’t be the only flat roof with trees over it, is there an alternative drain system?

 

All the other roofs are magnificent but this one is worse than before. 

 

Thoughts? Help?

• Carpet care (monthly spot removal, bi-annual deep cleaning)  Carpet cleaning I will get into a bi-annual deep cleaning and monthly spot removal.  Right now they are on a quarterly basis but Carlos calls me when he notices something that needs immediate attention or I call him.

• Garage cleaning schedules – Garage cleaning is biannual.  We try to do it in May and December

• Building-wide air handler maintenance – May is the common area air handler maintenance

• Regular garbage room cleaning – right now it is April, June, August, November.  I can move this to monthly.

• Other recurring maintenance tasks – See attachment.
