Dear Kim, Mike, and Shannon,
We are writing to urgently clear up the improper lien recently placed against Unit 205.
We need you to take all necessary steps at The Dartmouth Group’s expense to remove this lien, including:
File all required lien discharge/satisfaction documents with the Registry of Deeds.
Providing written confirmation to the Trustees and the unit owner that the lien has been fully released.
Ensuring no record of this erroneous lien remains in any public filings.
This lien should not have been filed so we need you to understand and acknowledge that neither the trust or the unit owner will be charged for the error or the correction.
Finally, we really need a meeting to discuss billing and communication. We understand the transition to Town Square has caused some issues but when we at the minimum don’t have monthly emails to each owner letting us know how much and when our bank is being charged for our fees it means unit owners aren’t aware of the issue.
How can you help us? The big issue of monthly emails and the smaller issue that some owners might need a one time touch point and explanation.
First we could focus on a monthly email, like an account statement to an address that owners have verified as accurate, showing the amount due, the due date, and clearly identifying any non-recurring charges (such as late fees).
Please stop sending any liens without trustee approval. Liens are extreme and we’ve had to use them before but the delinquent account issues right now, as far as we can tell, are the result of poor communication from TDG. Please begin with an Email first, then a paper notice, then at our monthly trustees meeting we can review persisting late payment issues.
Let’s be more careful with them since an improper lien may affect the owner’s creditworthiness. Can you give us written confirmation of lien removal from unit 205 and copies of all filed discharge documents this week?
This issue has now taken significant time for a group of volunteer trustees. We need this to get running smoothly so our time is better used on other essential issues.

Hi all,
I just caught up on this email chain, reading backwards. First and foremost, Shannon confirmed that the lien was addressed last week.
Regarding statements, since neither accounting system generated them, I don’t believe there has been a change. We can certainly ask whether there’s a feature available to send statements automatically, but I’m not aware of one at this time. I believe Shannon has already asked but waiting for a response.
Most importantly, we want to be sure no one is sent to collections in error. Shannon, I know there were specific circumstances with the recent situation. Moving forward, can you please review with the board the list Chris Morgan compiled of accounts that would be sent to counsel under our SOP? Following that protocol should help ensure no one is referred to legal without board approval.
