Water shut down...Shannon not in attendance

Hi all,

Why do we have a manager who doesn’t show up when we’re having a major water shutdown? Michael and I got last-minute texts to check for water working last night. I’m in Maine. Luckily, he was home. This was planned for weeks. Shannon should have been on site. That’s what a manager does.
She wasn’t on site for any of the pest control visits either. She’s not on site but for her frequently missed Thursday ‘walk-throughs’.

Am I crazy? Is this just her phoning it in?

I wasn’t appreciative of the text yesterday.

Hi Amy,
I agree that it's inappropriate for Shannon to not be on-site for these issues/visits...or to at least have a plan in place with an alternate or ability to come on-site last minute if needed. We can add this to our ever-growing google doc. I do feel somewhat badly for Shannon because I think she has too much on her plate with zero support (from Mike or anyone else)--but that still leaves us without the services we are paying for.    I'm not convinced that Kim understands the level of incompetence (or maybe doesn't care).  The more we experience with TDG, I think it will just be up to us to find a new management company--I'm not at all convinced that any of our issues can be remedied.

Hello everyone,

I had a long session today with Shannon.  

Persisting Town Square issues:  most units lack the convenient list of emergency contact/parking sites/tenants’ contact info. Etc.;  two rental unit leases are missing, another is out of date; the list of units with outstanding unpaid debts now includes essentially all SPA owners—making the list worthless.  I thanked Shannon for organizing the financial statements and trustee meeting minutes.

I told Shannon that we trustees were not pleased with her absence during the water meter replacement session, yesterday.  She seemed authentically embarrassed, and apologized for her oversight.  

I asked whether she thought it might be prudent (given our long-standing relationship) to hire CPC for the staircase painting job even though their bid is $500 higher than the other company's bid.   She assured me this would not be a problem with CPC, and that she has used that other company/they do good work.  So I told her to go ahead and hire the cheaper company, with instructions from Amy about color choices etc.  

The new pest control company is on site today in several units with ant problems.  They’ve also been on site repeatedly to attend to our SPA  rat overload.  

Shannon reported that Kim had asked her why we insist on holding a private ‘executive session’ at the end of our monthly trustee meetings.   For some reason (!) Mike M. reportedly was agitated that we were holding an executive session at the end of August Trustees’ meeting.   My response to Shannon was that TDG staff have many opportunities to talk privately about us and we reserve the right to have a monthly opportunity as a Trustee group to talk privately about them.    Besides, executive sessions are standard good practice for any board of an organization with a paid professional staff.  

Amy, after you are back in town we should talk about your interactions with Ken Reilly etc. before I meet with Kim and Mike M on Sept. 11.

Thanks Michael and Sejal for both your responses. I’m trying to keep up with everything from Maine and a home but very busy for a week then off to my nephews wedding in Haifa until September 29th.

I will send Ken a missive today about next steps on the pointing. I’m worried it’s quite a big project.

I’m amazed Shannon decided to paint the stairwells but didn’t wonder what color it should be. I had a moment up here where everything is calm and green, she’d assume, wrongly, that we like that disgusting yellow.

On Town Square, I haven’t heard from Kim but it’s clear they don’t have anyone who knows how to drive the software. I went on the website to try to learn a bit more but haven’t had much time to figure it out. AppFolio.com is the industry standard. Very user friendly. 

On the private sessions….I’d like to get rid of Mike. He is useless and should be paranoid but mostly I agree with Sejal. It’s time to vet some new options. These guys are a clown car without a doubt.

I have so much to say about Mike M's reaction to executive sessions but I will keep my mouth shut.  

I'm looking forward to hearing how Michael's phone call with Kim goes next week.  As an FYI, I'll be out of the country next week so see you all when I get back the following week.

Hi all,

I'm very surprised by Mike's reaction. We don't convene often as trustees, so why wouldn't we want a few minutes after the meeting to reflect and make decisions as a group? His response feels very high school. And I agree - I'm still not convinced of what he adds to the process other than handing things over to Shannon.

I also look forward to hearing about Michael's phone call with Kim. Thank you all,
