I had a long session today with Shannon.
Persisting Town Square issues: most units lack the convenient list of emergency contact/parking sites/tenants’ contact info. Etc.; two rental unit leases are missing, another is out of date; the list of units with outstanding unpaid debts now includes essentially
all SPA owners—making the list worthless. I thanked Shannon for organizing the financial statements and trustee meeting minutes.
I told Shannon that we trustees were not pleased with her absence during the water meter replacement session, yesterday. She seemed authentically embarrassed, and apologized for her oversight.
I asked whether she thought it might be prudent (given our long-standing relationship) to hire CPC for the staircase painting job even though their bid is $500 higher than the other company's bid. She assured me this would not
be a problem with CPC, and that she has used that other company/they do good work. So I told her to go ahead and hire the cheaper company, with instructions from Amy about color choices etc.
The new pest control company is on site today in several units with ant problems. They’ve also been on site repeatedly to attend to our SPA rat overload.
Shannon reported that Kim had asked her why we insist on holding a private ‘executive session’ at the end of our monthly trustee meetings. For some reason (!) Mike M. reportedly was agitated that we were holding an
executive session at the end of August Trustees’ meeting. My response to Shannon was that TDG staff have many opportunities to talk privately about us and we reserve the right to have a monthly opportunity as a Trustee group to talk privately about them.
Besides, executive sessions are standard good practice for any board of an organization with a paid professional staff.
Amy, after you are back in town we should talk about your interactions with Ken Reilly etc. before I meet with Kim and Mike M on Sept. 11.
