[sr2015-venue] Southampton based locations

Piazz@ is generally an option, this year it is not available on the 18th/19th (due to pre-booked event), which is when all of SUSU is available.

I have had a negative response from sports: Whilst we could book wide lane during out of term times, the space there isn't even large enough for an arena. It would require running the competition in a tent which really is the last resort.

Andy just made me aware that I should also inquire about the old sports hall to add some space to SUSU, which I'll follow up tomorrow.

I have just had a chat with the SUSU facilities manager and the
18th/19th+2 setup days is fine and reserved should we want it.

They also said that they should be able to provide the space for free
providing that bars are OK with opening up and locking up (otherwise
we might need to cover the cost of someone from facilities to be
around).

Hi,

just heard back from sports:
"As far as we are aware the SU building is closed at weekends during the Easter vacation and our hall not available.  I am sorry but if the building is open it would be made available for sports purposes as students will be returning over that weekend and I am sure there would be requests to play football or cricket."

So, without my request they would not even know they were open, but they won't give us a single hall...

Hi,

since we have a clear list what needs doing for Newbury,
here the clear list for SUSU:
- confirm SUSU are satisfied to provide power, tech services
- measure SUSU cafe and other new rooms
- produce accurate floor plan
- get fire safety to agree with that floor plan

Spoken confirmation, details will be confirmed in the next days via email.

Done, tom turned them into plans today.
 
- produce accurate floor plan

Will be done at doing tonight.
 
- get fire safety to agree with that floor plan

Spoken confirmation from fire safety that it sounds like it would work. Floor plans from doing will be submitted tomorrow
to get a written confirmation.

Hi all,

As mentioned before, we did some more work on this at the Southampton doing yesterday.

Various preliminary plans have been drawn up and are available at http://pluto.tomleese.me.uk/sr/floor-plans/ and these plans were sent to the SUSU fire officer today to check that they are suitable. Black lines are the dimensions of the room and red lines are our own plans on top of that.

To maximise the space available, we've assigned team pits to teams based on the size of teams. Smaller teams would be in the Café eating area and larger teams in the various rooms around the building. The team pits vary from 1.5mx1.5m and 3mx3m.

There are also some unknowns at the moment. Specifically, whether or not The Bridge would be open (and therefore whether or not The Bridge entrance area can be used) and also whether the Café food dispensing area would be available to us.

This feels valid, but it's worth noting that some teams may turn up
with more or fewer people than we know about. I'd suggest it's
therefore be worth allowing for some flexibility for now and then
using the ticket numbers to solidify the placements later.

Hi,



we have not actually assigned spaces yet,
that will only happen shortly before the competition.
However, we have a range of sizes, which will lead to students being more
evenly spread than every team having the exact same space.
At the moment we have more team pits than teams,
however we are still awaiting comments from the SUSU person
responsible for fire safety.

Hi all,

just heard back from the fire safety person.
Two arenas they way we laid them out will work from a fire safety side - the concourse is not a fire exit for anything but the top floor since it will be locked off by fire curtains.
From my perspective a competition with almost 60 teams is feasible in SUSU.
We'll keep things booked until a competition in Newbury is announced, to be on the safe side.

Thanks to all those who have pursued this - seems that we have something
that's transformed from just a backup plan into something that can be
rolled out reasonably quickly, which learns from our past experiences
and can be implemented very cost effectively (making quite an
attractive contrast to Newbury, albeit a bit of a squeeze).

Effort well spent. Thank you!
