Attached kindly find the quotation.
There are two pages for the quote, one is for the conference and accommodation, the second page is for the catering. Please note that the caterer has his own banking details, which I will send through to you should you accept the quote. If you had other types of meals in mind, please let me know and I can change it accordingly.
If you were only to sleep here on the Monday evening, the quote would change to R20 231.23. I can’t do anything about the hire of the sound equipment, etc. because if your conference is to start on the Monday, then they will deliver for me on the Friday in any case and they charge me a flat rate of 4 days hire. The meals will then work out to R4 340.00.
As explained, the time is very tight so please let me know urgently. I will need the confirmation of booking for completed as well as the signed terms and conditions (2 pages) and full payment in order for me to start preparing the accommodation and do the rentals for the sound equipment, etc.

I understand Cindy, and thank you for making sure that you are thorough.
The special circumstances are that we may have accommodation up to the 2nd so we're not sure if we should move or just stay at 17 shaft for all the days, we want to weigh our options. So it is only 70 people, not 140.
We will not need lunch from 17 shaft for any of the days, we are getting restaurants to sponsor us.

Is that over and above the 70 that will be staying already? Do you not need any lunches in the quote that I am busy with? Is there then a possibility that there will be 140 people sleeping over on the 2nd?

Cindy, if I could make a special request? Um, could you also draw up a quotation for 70 people from the 2nd say about lunchtime(as I said, however, we dont need any lunches) to the morning of the 3rd(including breakfast)

I am going to do the quote now.
1. I see however that you have put down the approximate figure. Please try and nail it down, it is very close to the time and I need to start preparing.
2. Then, I see you arrive at 10 in the morning on the 29th, or is that 10 at night. If it is in the morning, do you not need meals for the 29th as well?
3. Do you want tea breaks in the morning and in the afternoon?
As explained, if you are happy with the quote, I will need payment asap as I need to pay my suppliers for the rental of items.
