Documenting People for Citizenship Licences

You all were so helpful on how to document testing and the like, that I have another question.

For those using Microsoft Citizenship Licences, what kinds of records do you keep and how do you keep them?

There is really nothing you need to keep. You have to log the client on Microsoft's site, so that information is always available to you. If you feel the need to keep something, I'd recommend using the activation file you get back from Microsoft and add whatever else you need to include within that file.

For proof of elegibiliy, should I have some sort of letter or statement? Proof of free and reduced lunch, or ssdi/medicaid/other things like that?

In our organization we use an ERP so all records of eligibility are
attached to the client record and all MRR licensing is attached to each
order which is in turn associated with the org or individual who
received the system. Once you get over initial setup and "big" view mind
set. ERP systems save a bunch of time tracking records and activities of
your organization.

We have a form that we created that bullet points the criteria MS lists. We ask each recipient to read it and sign it if they agree that they are qualified. We work 99.9% with people with disabilities & low-income (receiving benefits based on need), so we know they are already qualified but we thought having a stack of forms shows that we have done our due diligence if MS ever asks. The form does not explicitly identify the person as having a disability but just that they meet at least one of the listed criteria. Identifying people as disabled in some contexts can be considered a medical disclosure so obviously we avoid that. I think it would be a very bad idea to collect any proof of qualification which can get you into some weird areas of privacy law.
