All,
Yay! We completed our May milestone.

Now that we are getting a handle on work that we can produce in a milestone and have broken down our subprojects into boards, I'd like to propose a new meeting structure that would start July 10 with goals of having less super long, weekly meetings. I proposed this in last week's contributor experience meeting to many thumbs up - does anyone disagree? I'd like to hear explicit +1/-1 from subproject owners.

Meeting Proposal
1 - bi-weekly meetings with subproject and team standups, light milestone reviews, and open mics at the end.
(when we get APAC back up and running we can discuss if one of these should be APAC or if APAC will be an addition)

2 - subproject meetings take shape: manage their own project board(s), responsible for having someone give an update at the bi weekly meeting, decide on their own meeting cadence including slack standups vs calls. We can reflect these in sigs.yaml.
(possible situations: contributor docs [contrib guide, noncode, etc.] will meet once a month, communication will have weekly slack standups, etc.).

The below subproject approvers will determine the cadence and help run meetings. We base approvers from the community-membership.md document and will be reviewing these files over the next month:

+1

Realistically we'll still have a fair amount of non-subproject business.
Today's discussion about triage labels is a great example. But
biweekly is often enough for this.

I wanted to follow up on the e-mail list with the takeaways from our last meeting:

- Having heard no objections, we're going to move starting in July to only having the main contribex meeting on the 1st and 3rd Wednesdays of the month.
- Subproject owners will be expected to establish some sort of meeting cadence. This can be a call, or a slack checkin, or something else.. but those subproject owners will be expected to have a delegate from their subproject report on status during those two meetings a month.
- We're going to work on cleaning up our subprojects in sigs.yaml, but we're highlighting the following six subprojects as needing to report: community management, contributor documentation, events, github management, mentoring, slack infra

If I've missed anything or you have any questions or concerns, please reply to this email and let us know.

Cheers,
Christoph
