The Atlas Project is seeking an Office Administrator


The Atlas Project’s mission is to support the progressive movement with the knowledge necessary for making better-informed decisions resulting in more efficient and effective programs. We achieve this by arming the community with historical elections data, sophisticated analysis and real-time updates for targeted states. We provide political campaigns and progressive organizations with a baseline set of information to work from – helping them learn from the past to make sound decisions for the future.

 

Primary Responsibilities

The Office Administrator is responsible for a wide variety of duties with a primary focus on maintaining the schedules of the President and Executive Director, managing all travel arrangements and preparations for meetings. 

 

Ideal Applicant

The ideal applicant should be proactive, responsive, organized, and above all highly detail-oriented. They should have a demonstrated ability to both look ahead to prevent problems from happening in the first place and quickly solve problems when they inevitably do arise. Great memory for names and an aptitude for understanding complex professional relationships are a big plus.  Applicants should have a professional level of computer skills and some knowledge or interest in progressive campaign politics and organized labor.

 

Other Responsibilities Include:

·         Coordinate with designated staff in advance of meetings to maximize the President and Executive Director’s time and strategic goals.

·         Manage all scheduling requests including meetings with labor leaders, progressive clients, elected officials and the press.

·         Manage user access to the Atlas Online Toolkit and work with the political team to facilitate some client outreach functions.

·         Monitor general office inbox and distribute incoming emails to appropriate departments.

·         Take minutes at office meetings and follow up on action items that arise in meetings.

·         Sort mail and pass along to appropriate staff.

·         Maintain files, electronic and hard copy.

·         Coordinate with our CFO on depositing checks and getting the president’s signature on contracts and other key documents as needed.

·         Order office supplies as needed.

Requirements:

·         4-year college degree

·         Must have at least 2 years of experience in an administrative role (office management, scheduling, executive assistant experience, etc.). 

·         Some experience working in the political or campaign spheres.

·         Strong experience in Microsoft Office Suite, Google Calendar and Google Docs.

·         Ability to juggle multiple tasks in a fast-paced environment.

·         Strong organizational skills, with the ability to perform and prioritize multiple tasks with excellent attention to detail and seamless execution.
