DGS updation of seafarer details

     following summary and attached document should be of help to those still sailing and intend to sail in future. Happy updating.
 
 

1) Most of the officers and crew have registered and uploaded their details on MMD web site for various endorsements.  As per the above DGS circular, the details are to be entered in DG website. Please advise if the data already uploaded on MMD Web site can be linked to DG Web site, alternately the entire data has to be uploaded again.

 

Unfortunately, there is no interconnection between MMD Website and DGS e-governance module. Therefore, the data uploaded there cannot be transferred to DGS. The seafarers have to fill in and upload the entire data all over again.

 

2) For courses which were done much earlier, some of the training institutes may not be operational now and as such their details not available on the site. In this case, how to upload the details?

 

It was agreed that the DGS e-governance cell shall create “others” as one of the options in the drop down menu for such institutes.

 

3) On courses done earlier, in some courses there was no mention of the dates the Course done (only date of issue of certificate is available). How to enter the dates?

 

It was agreed to look into it and keep only the Date of issue of Certificates and not the duration of the course since it has varied over the years.

 

4) Under Professional Training Details - Seagoing Service tab, selection of Watch keeping for Saloon Rating is mandatory whereas Watch Keeping for Saloon Ratings is not required.

 

It was not discussed.

 

5) Under STCW Courses our company name has not been included under Training Institutes. PSSR course was conducted by our company. There is no other provision for entering the Company name not present in the list.

 

It will get sorted out once “Others” is included in the drop down menu for the Institutes (See Item 2).

 

6) Many a times, the site is down and a seafarer is unable to submit a printout.

 

It happens. DGS will try their best to keep it functional.

 

7) Fields do not accept certificates from foreign institutes and organisations such as MCA etc.

 

It will get sorted out once “Others” is included in the drop down menu for the Institutes (See Item 2).

 

8) Fields also do not accept certificates from Institutes that were once D.G. approved, but are no more existing

 

Already answered above in item 2.

 

9) Many a times an error keeps appearing – Internal Server Error.

 

This has been resolved now.

 

10) An entry once made in the education section, if required, cannot be deleted, e.g. repeated entry of, say for example, of 12th std. Certificate.

Such information should be checked carefully before pressing “submit”. However, these type of errors can be corrected by approaching DGS e-governance cell.

 

11) In document section, documents like CDC or passport once entered can only be viewed but cannot be edited.

 

DGS e-governance cell will look into it, particularly with regard to the Passport, where the number changes on renewal.

 

12) The procedure for vessel entries is not clear and cannot be done sometimes even after repeated attempts.

 

Sometimes there may be some problems but generally it works.
