HIRE DC - database system administrator

Background/Overview: HIRE (Helping Individuals Reach Employment) DC is a shared database developed in Salesforce. The overarching goals of this system are to better coordinate workforce development programs and services to DC adults and use this system to report the collective impact of partner organizations.

Partner organizations have developed a shared in-take form and established an agreed-upon set of outcomes that will be tracked by all HIRE DC partner organizations.

The effort to design and develop HIRE DC started in 2012 and has been spearheaded by Byte Back, Samaritan Ministry of Greater Washington, and Southeast Ministry. Several foundations including Jovid Foundation, Community Foundation for the National Capital Region, and the United Way have contributed financial support. A consulting team from Compass identified Salesforce as the platform to use and another team from Taproot developed the prototype. Pro-bono legal support was provided by Covington & Burling.

HIRE DC will be launched in March 2015. The current partner organizations seek a qualified individual to help take the system to the next level.

Reports to: The HIRE DC advisory committee.

Hours/Schedule: Approximately 20 hours per week. Initially, person hired for this position will be hired as a consultant.

HIRE DC Database Goals:

 Serve DC adults more effectively and efficiently by facilitating collaboration and program integration between partner agencies with the goal of helping DC adults acquire job skills and education.

 Track client data and outcome information to demonstrate collective impact of partner organizations.

 Coordinate and integrate services in a manner that would not only lead to improved client services and outcomes but also increase the pool of funding available to participating organizations (i.e., apply for joint grants from larger foundations or other investors, etc.).

 Improve the quality of data collected and maintained by partner organizations.

 Create a viable database system that is economical, easy to use, and will be accessible to small nonprofits that alone could not develop, maintain, or support a database system due to limited financial and staff capacity.


This position has a lead role in translating the partner organizations’ needs into a comprehensive platform for managing all key information and automating business processes through the configuration, management and optimization of the database.

Responsibilities:

 Assist with the implementation and continued development and design of the database system adding functionality as agreed upon by the partner organizations.

 Assist with the design and development of a basic users’ manual.

 Work with leadership and frontline staff of the participant organizations to ensure that database performs optimally to meet the needs of the collective as a whole as well as individual partner organization needs.

 Work with staff of participant organizations to develop and implement access and data security protocols.

 Ensure data is of high quality and reliability.

 Implement case scenario tests to detect any problems with the configuration and work with the Salesforce developer community to solve any problems.

 Manage user profiles for the shared database and individual partner organizations.

 Provide guidance and support to use data to report on the collective impact of partner organizations’ efforts.

 Work with participant organization staff to clean and upload historic data as required.

 Train new staff at participant organizations to use the database and provide regular follow-up training and support.

 Keep abreast of updates and changes to Salesforce and related apps through online research and through trainings; recommend and implement upgrades and changes to optimize database.

 Participate in regular meetings with the HIRE DC steering committee as required.

Qualifications:

This position requires a critical combination of skills. Applicant must:

 Be an experienced user of Salesforce and at a minimum have Salesforce certifications in Admin (ADM 201) and Developer (Dev 401),specific experience with Salesforce to include: custom objects, workflows, validation rules, reports, dashboards, and data migration,

 Be able to work independently,

 Have high proficiency in math, data, and database management,

 Possess excellent communication skills,

 Strong organizational skills and attention to detail, service orientation, time management, critical thinking, and active listening.

 Experience working with shared databases, group project management and a diverse clientele a plus.
