Good day Guys,

We just procured some new hp servers which will be running windows 2012 server OS and there is a need for me to migrate alfresco and all the e-documents hosted on it to the new server.

Right now our Alfresco DMS is currently running on windows 2003 server OS, so my questions are:

1. What are the steps to migrate Alfresco Software which is currently hosting 180,000 plus docs from our old server to the new server without any failures?

2. What should put in place before such an activity takes place?

3. How long does such an activity usually take?

4. If there are please can they be as explicit and user friendly as possible.

5. How much do vendors or consultants charge to carry out such an activity?

Expecting your kind response,

Peter Monks

Assuming you need to move the database and content store, I’d suggest the following:
  1. Shutdown Alfresco on the old servers
  2. Backup the persisted repository (database & contentstore) on the old servers - please review https://wiki.alfresco.com/wiki/Backup_and_Restore for details)
  3. Restore the backup to the new servers
  4. Install Alfresco on the new servers
  5. Configure the new installation to point to the restored repository
  6. Start Alfresco on the new servers

There may be additional steps required to make the transition seamless to users (e.g. hostname / DNS shenanigans), but the above will at least get Alfresco itself up and running on the new physical machines, with the existing data.

Most of the time involved will be in physically copying the backup from the old servers to the new servers - this will primarily depend on the network speed between them and the average size of the documents.  I’d be surprised if that took more than an hour or two though (unless each file is a DVD image, or similar pathological corner case).

Cheers,
Peter

Peter, only one more important thing.

All the custom configurations, for example, custom types, have to me "installed" on the new server.
Remember to install any amp file you have on the old server, and review at least the tomcat/shared/classes folder for customizations.

Yeah great point.  If the two versions of Alfresco are identical these things can be copied and applied as-is.  If the Alfresco versions are different, there will likely be some work in upgrading the configuration settings, and recompiling the AMPs against the new version.

Cheers,
Peter

Also to add to it you should check out the supported stack here As you are moving to Windows 2012 server Alfresco Ent. 4.2.x and above only may be supported.

Also, make sure that all third party tools are available on the new server, like [Open/Libre/MS]Office, but most of them will be included in step 4, when you are installing Alfresco. But, it's worth checking.

It goes without saying that one should run the environment validation tool [1] (which checks this, amongst other things) as part of every single Alfresco install.  ;-)

Thank you so much guys for your responses. I have noted down everything and i feel confident enough to execute the migration activity.

I will do my best to keep in touch while the activity is on-going.
