Sorry for all the posts today! I have noticed that when I pull my download for attendance all my KG/PK students are showing as not having a single day absent. They are in a building of their own so I am not sure if it is something in that building not set up correctly. I have pulled a few random students that I know have attendance events and they are marked absent but the download is showing that they are 100 % present? 


Any ideas?

We had the same issue and the problem was only at the schools that didn't do period attendance. I went under Sys Admin>Calendar>Calendar.  We changed the Whole Day Absence to 18 minutes.  The attendance report worked after that.

Something else I noticed in our attendance reports, is that Pre-K kids are being "excluded" anyway (which won't help your KG kids), and so are kids with less than ~10 days of enrollment.

ALSO: A warning for anyone using a half-day code for daily attendance at your elementary schools (as opposed to taking attendance twice per day). Half day codes are probably being counted as a full day of absence in the IC extract, whereas they probably should be counted as a full day of being present. As I interpret the state definition, I think greater than a half day absent counts as absent, but less than or equal to a half day counts as present.  No decimals.

So if you have two periods and are absent for one and present for the other (and they are the same number of minutes) - then the IC export will count that as present.  But if your district does just one attendance period per day (as mine does), and you use a code (like HE or HU) to indicate when a student is only absent for half the day, then the IC extract ignores that code, and just sees a full day absent.

In my district, this adds about 2000 extra days of absence district wide, and gives significantly higher rates of chronic absence... especially affects kids with frequent doctors appointments.

Students without a schedule are also currently showing as having 100% attendance.  This has been discussed with IC and the DOE and will likely change to NULLs or zeros for Q4 reporting.

Typically this should only affect Special Purpose Day School placements, and the DOE has said they would be excluding those kids anyway... but I just checked one, and he's counting as 100% attendance on NEO right now, and is not excluded.

I've always made 'Homeroom' a period that takes attendance.

So far, so good.

Sam,
Do you have a link to the state definitions for attendance? I am thinking I may need to change my 1/2 day absence practice. I'd also like to see the state definitions for all things attendance related since I now am in that role daily.

We use HR for attendace PK-8, and have not had issues in the past. The HR course has the attendance checkbox and all students are scheduled into a HR class. 

The ME exports from IC, showed perfect attendance for two of our five schools. Off to check out the calendar setup.

We do 'sec'y oversight' for grades K -8, following the State's guidelines
as explained in the link that Norma-Jean supplied.

They use how much of the school day the kiddo was present to decide
what code to give him; my Tardy codes are just more filter-able information on
'present' or 'absent', as is 'dismissed', all based on the more or less than half a day
rule.

The HS does period-by-period, so it figures itself out.

So far, so good.

My challenge here is getting the elementary secy's to stop using their judgement for
excused vs. unexcused.

State has clear definitions for what's excused, and 'Oh, it's OK; I know where he is,
he stayed home today with his grandmother because she got a new fish'
just isn't excused.

Baby steps.
