Custom Forms In Shared Subjects and Experiments

Hi XNAT Team,

Our team uses custom forms to store demographic and other metadata for patients. Some of these forms are project-specific.

We’ve run into an issue with shared subjects and experiments:

  • If the parent project of a subject does not have the same forms activated as the project it was shared to, then when browsing the subject in the shared-to project, the project-specific form is not visible.

  • The same issue occurs for session-specific custom forms in shared experiments.

Example:
We have two projects:

  • IDH-Mutants

  • 14-001261_Surgical (has a project-specific subject form)

If a subject is shared from IDH-Mutants to 14-001261_Surgical, the 14-001261_Surgical custom form does not appear for that shared subject.

Is there a known workaround or best practice for making project-specific custom forms available when working with shared subjects and experiments?

Hi Ashley,

Some background:

A form is tied to the tuple - (datatype, site)  OR (datatype, project). Lookup for forms is done based on the Source project. So, if you share a Subject from Project A to Project B and if you have a Form associated with Project B. When you are in Project B context, you won't be able to see the form, as the source project of the subject is Project A. If you associate the form with Project A, you will be able to see the subject form.
