Sounds good I will get this new proposal in this week, latest by Thursday. The donation will be coming in on the 28th. Can I just deposit the check in the WCTC US bank account? If so do I just need the account number?

Also as for fiscal fee does 5% work?

The funds are going to BAC as they are intended for the BAC Director compensation, these funds have already been approved by the BAC board for this purpose. Should I send those board meeting minutes along with the proposal? 

On a personal note, these funds ultimately are paying my rent. As long as the proposal is approved by the WCTC board do you think it would be possible for the pas through to be complete by the 3rd of March? (Rent is due on the 5th)

Never send W-9s or tax documents to an email list because they have social security numbers and personal addresses etc.. I deleted it already so it is all good.

Legally it is called Personal Identifiable Information and you should always keep it separate from normal communications and doccument storage so that it protects peoples idenities. Just a legal requirement, and friendly reminder.

It shouldn’t be a problem, but lets keep in mind for future reference.

We also use protomail which is secure email, and I also am making some new emails just for secure document transfer.

I didn’t even think about it, but we learn one step at a time.

That is a tight timeline, uff. 

Usually we take a full 2 weeks or so, but lets get that to us ASAP, and we can review and get back to you ASAP at lest with the initial reaction. If it is leaning towards approval then we may be able to fast track before all of the final official votes, but I can’t guarantee anything.

Also I am happy to jump on a call with you on Thursday, and go over the proposal together to make sure it meets all requirements and details which will help it get fast tracked so that we don’t have to go back and forth as much.  

The proposal does need to be approved by the BAC board and in the minutes, not just the approval of the budget and use of the funds. But the meeting minutes of the budget approval and use of funds should be attached as that will help fast track for sure. If we can set up the proposal correctly then if there is agreement we should be able to fast track some of it even without the final Board approvals. 

I can’t guarantee anything, but we will address the proposal neutrally like any other, which is required based on our bylaws.

I hear ya on the tight timeline. And if wctc cant do it we can do  the pass  through via a different fiscal sponsor so there is not pressure for the
WCTC Board. I’mhappy to do a call with ya on Thursday though to se e if it

is possible to get it approved in enough time to get the pass through complete by the 3rd of March. What time works for you on Thursday?

If we decide to move forward and have finished the proposal the BAC board should be able to approve it in 3 days.

Ah good to know. I was not aware of that. I’ll use a secure system in the future for personal identity info. The other w9’s and all the 1099’s will be in the mail tomorrow.

So the WCTC board can not even consider the proposal and to be able to consider whether it may or may not pass until we see what exactly it is. Right now I just don’t really know much yet.  So if you have other options that can do it quickly then that is fine if you want to keep focused. 

If you put a draft of the proposal together, then I can take a look. My Thursday is pretty tight but I will have time to talk on the phone off and on. Im also available today, Wednesday, or tonight to go over it if you want to check in briefly before you draft the proposal.

I personally will do my best to step back and let Mel & Heather make the final decision, but overall what I would be looking for is clarity on the decision making, and oversight of the money, and also what the money is for and how it would be spent. So as long as everything is clear what we are approving, one-time, on-going, and the details, then it is possible Mel & Heather will approve it quickly with no problem.

Hey Patrick,

Were you planing on sending any information for the amounts of the 1099s. Have you mailed over the physical copies yet. I got all the W-9s but I didn’t get any amounts for the 1099s so we are just waiting on all the information before we can finalize and send the 1099s to the IRS.

Hey Jay,
I mailed the 1099's on Tuesday, the w9s that you have are not all of them as some are in hard copy form which are in the mail.

I have heard back from Rich Oak and no one was ever paid from the account, all expenditures were made via the debit card attached the account and were for promotional purposes ie: fliers and booting fb posts.

Is there anything else you need from my end?
Would you like to see the spread sheet that has all of the totals? This will be the same info that is on the 1099's.
