Hi all,

I wanted to update you all on the Sharex roadmap (includes Wellness Center). A quick thanks to Barb for all her work as co-member of the Committee.

Since LPP and ILIR have left (along with $40K+/year in income to UUFBR), we are in a rebuilding phase. We are purposefully focused on encouraging Sharex partners that share UUFBR's values and mission. That said, we must balance having aligned mission partners, with bringing in sufficient income, with the space needs of the UUFBR and its events. It's not an easy task, and often its impossible to please all stakeholders. The 2017-18 Budget shows $44K income from Sharex (someone correct me if I'm wrong). I believe we are on target for $40-45K in Sharex income.

We currently have 2 major Sharex partners left (Kol Ami $1060/mo and Zen Group $950/mo) that combined will pay about $24,000/year in fees to UUFBR. A hodge-podge of 10-15 others will pay around $10-15K combined. The Theater Camp paid $6K.

We have some new Sanctuary/Osias space use needs by Sharex partners. Kol Ami has expressed that they want to grow their membership and will no longer be as flexible about using Rockberger when we have UUFBR events. They use the Sanctuary 2 Saturdays per month, some Friday nights, and occasional Jewish holidays.  Zen Group will need to use Osias and the Kitchen to have lunch once per month when they do an all-day retreat which often attracts 25-40 people. They have said they will try to work with us if we need to use Osias, which is helpful. They will also need use of the Living Room when they have an all-day retreat. On a positive note, Zen Group offered $800/mo for dedicated use of the double classroom in back of the main building. I countered with $950/mo, which they agreed to. 

A couple of Board members have expressed concern that there will be conflict between Sharex and UUFBR use needs. I believe financially, we need to keep these two key Sharex partners and work around their use of Sanctuary/Osias. I saw 6-8 events proposed by I believe Johnnie and Barb. Since even with Kol Ami and Zen Group, we still have 1-2 weekends free per month, I would strongly urge that we keep these two partners and ask that UUFBR events be scheduled around their use.

Unless I receive strong negative feedback or other direction, I will go forward with offering the dedicated space to Zen Group and renewing our Sharex agreement with Kol Ami.

Erica Siegel intends on offering community acupuncture services starting Oct 1. She has been assigned Rockberger as a dedicated space. The flea market items which take up 1/3 of Rockberger need to be moved out. Faith Farms has been scheduled to pick them up on Aug 29. Erica and I will be there to move everything outside Monday evening before dark. I'll need keys to the buildings. If anyone wants to help, that would be greatly appreciated. Barb expressed that UUFBR might keep some of the cabinets and shelving units that are holding the flea market items, and would discuss with Ellen whether RE could use any of those. So we would take a week or so to relocate any of those that are needed by UUFBR, and then I'd take the rest to the dumpster.

If there are any issues with donating the flea market items, please let me know.

Amy Wright Glenn will begin home school Science and Math classes for 3 hours every Friday morning, starting the last week in August. According to Amy, there is a need for Science home schooling curricula, particularly since the majority that exist in Florida are creationist-based. She has been given the large classroom that is the first room to the right when one enters the RE building. We currently don't have anyone else using that room, so I've given her permission to bring in some rugs and items of her classes, and she can leave them there. It's a nice room for her to get, especially when she's only using it 3 hours/week to start. However, she understands that if our Sharex needs change, she needs to be flexible and may have to relocate. I'd like to give her support for her program, because I believe it is very aligned with UUFBR values/mission and it can grow. We are charging her $200/mo for her current use.

Sharex could greatly benefit by attracting some new partners. HOA's, clubs (like volunteer org's), and other groups that regularly meet could use our space at relatively low cost. Especially with aesthetic improvements, we might be able to house an occasional small wedding, bar mitzvah, confirmation or other type of reception. I'm not a good candidate to do the marketing for new Sharex partners, but if one of you could, or knows a member who would, please let us know.

Thanks very much for all the info.  

Would the weekends when Zen and Kol Ami need the Sanctuary and Osias be consistent (e.g. 1st and 3rd weekend each month), or would they change from month to month?  If they are consistent, that would certainly make it easier for us to plan.

I am OK with us working around our dedicated sharex partners for those extra events that we want to hold.

Looking at the calendar (http://www.uufbr.org/calendar/) we have the following:

  • Saturday, Sept 16th, we have a Clothing Flea Market marked as all day and Kol Ami at 6pm.  
  • Saturday, October 21st, we have Pumpkin Patch at 10am and Kol Ami at 10am.  
  • Saturday, February 3rd, we have Flea Market Sale Day marked as all day and Kol Ami at 10am.

Would the Clothing Flea Market, the Pumpkin Patch and/or Flea Market Sale Day need to be moved?  If so, it would seem at first glance like each of them can simply be moved one week earlier or later and resolve the conflicts.

FWIW: This is the beginning of "the tail wagging the dog."  We will most certainly have to defer our own activities to accomodate paying tenants, because we will depend on them for our viability. As long as we pursue this method of financing our existence, we will have no choice.

Thanks for pointing those out. Here are my thoughts. I am requesting that the Event Organizers for each event please contact me so we can talk through the issues and schedule:

1. Clothing Flea Market Sep 16: An alternative date would be Sep 23  Kol Ami is in the Sanctuary Friday night Sep 22 at 7:30pm, but all of Saturday should be clear, as we can have Zen Group in the double classroom. So if only all day Saturday is needed, Sep 23 would work.

2. Pumpkin Patch Oct 20: The calendar says "Outside". Kol Ami has Sanctuary/Oasis/Kitchen 10am-2pm on Oct 20. If the Pumpkin Patch can be done outside (maybe in front where people driving by can see it?) that might work.  Oct 28 would work well as there is no one but Zen Group who will be in double classroom. Oct 14 could work although maybe not ideal. Zen Group has their monthly all-day retreat. We could try to have them move their lunch out of Osias. Again, if the whole Pumpkin Patch event is occurring outside then Oct 14 is probably fine.

3. Flea Market Feb 3: Good alternative days would be Jan 27 or Feb 24 as no one will be in Sanctuary/Osias/Kitchen those Saturdays. Kol Ami will be there Friday night (they're in Sanctuary/Osias/Kitchen pretty much every Friday night), so as long as set-up can begin Saturday morning, either of those dates work.

What Monday are you planning before the meeting and what time?  I planning on helping.


On the Sharex plan  Ok since it seems that it is very well established. NO negative feed back but if you want events to happen we will need firm dates once and for all, as it is not easy to plan when it keeps changing. Or we can also just not do any or just small things ?

I guess it is just a  need to know what the majority of you want to see done...

As I was told the Zen group needs the place to be quite not sure if the pumpkin patch traffic will work for them?

Thanks very much Johnnie, I'm hoping to get consistent/firm scheduling system in place, but will take time to do and for me to learn the ropes. I don't know anything about our event set up and break down, so this info is great. If others can add what they know or any other thoughts/data, it would be helpful for me.

Hi Ari and others,    [these comments cover several emails.  I did not realize the extent of emails here, and have no energy to go back to insert reply with the thought provoking paragraph]

1  It would be nice to see a comprehensive list of all Sharex partners that are still with us.  Also, for history, I would like to see what income we had from LPP and ILIR at the end.

2  Can we have the complete list of monthly Zen Saturday meetings AND Saturday meetings of Kol Ami, for the entire term of the lease.  Should be 1 Sept 2017 to 31 Aug 2018.  Your memo said 2 Saturdays and some Friday nights.  I thought they met every Friday night and only Saturday from 10A-2P.  I saw one list with a Saturday eve usage.  Is that correct ?

3  I would agree with making an effort to comply with Zen and Kol Ami time needs.  However, this need means that we can only have 2 Saturday eves and 1 Saturday afternoon available for renting Sanctuary and Osias/kitchen, weddings or whatever.

4  Again, please get a full schedule from both partners BEFORE we offer them a contract.  Their lists are what is valid, any errors are their problem, not our scheduling problem.  I have a memory that Kol Ami made a mistake a couple of years ago and UUFBR had to juggle our stuff around for their error.  Perhaps we consider a shuffle fee if we incur problems with changing activities to accommodate a partner error.

5  Flea market goods - Bill Jensen had a good idea.  Let us allow the congregation to peruse and pay cheap prices for what is left.  We could also try to make a deal with other church flea market items and see if they might take a consignment fee for taking whatever.  We do have the old ILIR office to store our high end items.  There are lots of pictures there that could be cleaned out.

6  Johnnie stated correctly, I am pretty sure that Zen Saturday meetings are also meditation type gatherings.  Therefore quiet is essential.  I strongly suggest that you check ALL double bookings carefully as to conflict of space, noise, hallway and bathroom sharing, etc.  Also, flea market set up times are definitely more than what can be done on a "Morning Of" basis.

7  I also suggest that you get concurrence from Harris before you finalize the schedule dates and contracts.  Harris has a wealth of knowledge about these types of things that is not known by others.

Hi Doug,

Yes you're correct. Kol Ami has Sanctuary/Osias/Kitchen every Friday night, every other Saturday, and a handful of Jewish holidays as well.

I agree, with so much use of the Sanctuary/Osias/Kitchen already it would be hard to fit in people who might want to rent it as a "hall" for receptions/celebrations.

I'll work on getting the schedules.

Re: flea market items. There are 13 days, including 2 weekends, before Faith Farms comes. During that time, feel free to have the congregation pick it over, consign with churches, etc.  Unless I get major pushback, I, Erica and any others who wish to help (thanks Johnnie and Linda), will be carrying what's left outside for pick up.

Erica Siegel intends on offering community acupuncture services starting Oct 1. She has been assigned Rockberger as a dedicated space. The flea market items which take up 1/3 of Rockberger need to be moved out. Faith Farms has been scheduled to pick them up on Aug 29.

Why do we have to clean out Rockberger a month before use ?  This same question came up 2 times.  If we had till mid September, then that would still leave 2 weeks for setup.  That would make life easier and give more time to peddle stuff. 

There might very well be good items for the next flea market.  The clothing flea market would clean out most old ILIR room and give us storage for decent stuff for the next flea market rather than putting it out on the driveway or sell it for $1, a big loss.

Also, if we wait a couple of weeks, there will be people who could make a reasonable check to search for decent stuff to hold for the next flea market.  If we waited till mid September, we could publish it in multiple Chalice Notes and Sept. Unicorn, also Craig's List and other places.  We could even open it to the public as a small clearing event.
