Do you have any predefined Templates to schedule a monthly event?

Hi, I'm new to this Software.
We have 24-hour adoration in our church once a month. I want to schedule at least 10  volunteers (25 volunteers signup per hour will be great) to present before the Blessed Sacrament praying per hour. This is really important during the midnight hours.
My questions:
1. Do you have any predefined template to create a schedule for 24 Hour Adoration?
2. Is there a limit in the software on how many volunteers can sign up per hour
3. Have Anybody else has done this? Please share your ideas

Hi Nancy & Margaret,

Great questions! I actually have some experience implementing Adoration into MSP. In my case, it was Perpetual Adoration, 24/7 year-round and typically with only 1 or 2 persons at each hour so the setup was a little different.

To answer your questions:
1) We don't have a predefined template for Adoration but the setup would be pretty simple
2) There is no limit to how many volunteers/positions you can have at each service (hour)

For my parish, having Adoration included in MSP ended up causing issues with our Adorers not getting scheduled for liturgical ministries because they were already scheduled every week for Adoration, and the auto-scheduler is always trying to keep a balanced number of times served when placing folks. If you don't have much overlap between Adoration and liturgical ministries (in other words, it's a different group of people) or if it's not going to be the same people at Adoration every month and they'll be signing up voluntarily after the auto-scheduler has already been run to fill the liturgical ministries before the Adoration slots are filled, then you may not have the same issue.

If you do decide to implement Adoration into MSP, I would recommend creating a New Monthly Service for each Adoration hour with 25 positions in the Adoration ministry at each hour. If you have already created the schedule including the date range you'd like to begin Adoration, make sure to open that schedule before creating the new service times. This way, MSP will prompt you asking if you'd like to include the new service(s) in the open schedule and you can say Ok.

Although MSP can be used to schedule Adoration, many churches use our sister program, Volunteer Scheduler Pro (VSP), for adoration.

Thank You, Samantha.
One of our volunteers wanted to signup multiple hours and she was unable to do. The system did not allow her to do it. What am I missing? All volunteers should be able to sign up for more than one hour. I appreciate your help.

Hi Nancy, 

It is likely you have a setting restricting how many times a volunteer can serve in one week. This can be found here:

  1. Go to the Web Terminal pane
  2. Click on Web Terminal Settings
  3. Choose Assignments on the left
  4. Uncheck the box "Don't allow assignments which would schedule a volunteer for over x service in a week"
    (or adjust that to how many time you would like a volunteer to be able to serve)
  5. Click OK 
  6. Click Commit Changes
If that does not solve the issue, please send in your data files (Help - Send Data Files to Tech Support) and let us know the name of the volunteer so we can take a closer look!

Hi Raina,
The 24-hour Adoration ministry we just added to our Master Schedule. All other liturgical ministries are using the auto-configuration to run their schedule. Removing this causes problems for those ministries since people only want to serve one time per day in a Mass. Is there a way to have a separate configuration per ministry?  Is this restriction exists in VSP too? We are trying to evaluate VSP for other volunteer activities.

Hi Nancy, 

One of the reasons we recommend using VSP for Adoration (aside from being slightly easier to set up if you are running daily shifts) is so that it does not interfere with your MSP settings (like the one above) and the auto-scheduler. So, if you need different settings for your regular services and Adoration, checking out VSP is definitely a good place to start! We even offer a free 15 day trial so you can get setup and preview how it will work for volunteers.
