Reservation at the Holiday Inn at Town Lake

Dear all,
Many of you are aware that we use the Holiday Inn at Town Lake, Austin, Texas, to accommodate conference delegates. We have an agreement with the hotel to offer discounted rates to conference participants for the duration of the conference.
Lovinia, the official handling our reservations has contacted me with concerns she noticed from reservations already concluded. Participants are booking outside the block dedicated to Africa Conference through other third-party channels, different rates and some require full deposit at the time of booking. If you book outside the block, you will not get the discount.
Also, the hotel’s system cancels any and all reservations without a valid credit card on file. The issue is, reservations have been cancelled and guests will not be made aware by the hotel since it was booked by a third-party, this will cause serious confusion at arrival. Some guests will think they have a guaranteed reservation and payment has been deducted.
Cards are immediately validated and cancelled if cards do not have funds for full deposit.
Again, you have to book within the block in order not to use a credit card. We have an agreement with the hotel to allow Africa Conference guests to book without deposit or card on file and to pay at check in.
