End-of-year party!!!!

Thanks to those of you who have responded!  Unless I hear any strong objections, we're going to have an end-of-year picnic and party on Sunday, June 13th at Rogers Playfield (maybe 4-6pm?). Please let me know if you have ideas for how to make this fun and if you would like to help plan it. Food? Music? Games? Some sort of ceremony?  Maybe we could hand out the T-shirts at this event?

My understanding is that TOPS staff are not allowed to attend in-person gatherings of students (some sort of liability issue), so we need to pull this together ourselves.  Let's make graduation special!

Please send me your input and let me know if you want to be involved!

I can provide a PA for music and a microphone for announcements.  Assuming it’s not raining or it would need to be under a roof.

Yay Tina, thanks for organizing! Love this music idea - thanks Jonathan! Maeve will enjoy. 
How can we contribute? We are happy to help financially. 
I think the kids would really just enjoy being able to hang out together with some music and snacks. 
Maybe we could buy some of those individual chips and soft drinks/water for them?

I’ve got two pop-up canopy tents that are 10’ x 10’ I can bring.  That would shelter the PA equipment comfortably.

Hooray! What a year we have, it would be so great for kids to celebrate together!  Thank you for organizing it!

I like the tee shirt idea for everyone. We’d have to make a decision fairly quickly to have them completed in time for the picnic.

Dear TOPS class of 2021 community

Thanks to all who've already volunteered to help plan this end-of-year picnic for our 8th graders!
And to Tina for initiating this conversation. 

Attached is a spreadsheet I have developed. Here are the details so far:
  • Assuming approximately 40 students & their families will attend.
  • Sunday June 13, 2021 - only 2 short weeks away!
  • 3-5 pm at Roger's Playfield
  • Please do not bring pets 
  • Please arrive by 2:30pm if you're bringing any of the food/drinks/supplies etc.
  • Families should bring: blankets/chairs/own picnics if desired/drinks for non-students
  • Our class fund can be used toward purchase of the Pizzas/drinks for the students. (I don't know the balance of our class fund)
  • If you prefer to support by sending a [small cash $5-$20] donation, you can Venmo me @Martha-DuRuz or Kris Shaw
  • Teachers/staff, unfortunately, are not expected to be in attendance (per Tina's prior communication)
  • Sweatshirts will be passed out at the beginning of picnic. 
  • Open to other suggestions...
  • We have vacancies for the following: Please let me know what you're interested in & I can add you

This can be overwhelming & we do not intend to inundate you with more - after today - regarding this specific event.

This estimate is/was based on the assumption that of the 61 total wonderful students/families who are obviously ALL invited, there will likely be those who cannot/will not attend this event {as is historically true for many school events} due to a variety of valid & personal reasons including: prior family committments, being out of town, traveling, working, ongoing or new COVID-19 concerns, transportation, too much other stuff going on, you and/or your child(ren) are just not into this, other personal choice or private reason.
  • If you and/or your child(ren) need transportation or want to carpool to/from the event please reach out to me separately if you're comfortable - & we will be glad to help w/that. 
  • Sunday June 13, 2021 - only 2 short weeks away! This is an informal & casual gathering
  • 3-5 pm at Roger's Playfield
  • Please do not bring pets due to allergies / Roger's is not a designated dog park
  • Please arrive by 2:30pm if you're bringing any of the food/drinks/supplies etc.
  • Families should bring: blankets/chairs/own picnics if desired/drinks for non-students
    • Our class fund can be used toward purchase of the Pizzas/drinks for the students. (I don't know the balance of our class fund). Tina has informed that after purchase of the school gift (Foosball table), there will be enough funds to cover most of the food. Vegan/GF/Vegetarian options of pizza / cupcakes will be available. @Kris Shaw thanks for reminding me to note this detail.
    • If you prefer to support by sending a [small cash $5-$20] donation, you can Venmo me @Martha-DuRuz.  We have already received several donations. Thanks to those of you who have chosen / are able to participate in this way. This is an option and definitely is NOT mandatory.

    Let me clarify the information on the sweatshirts. Nobody needed to order a sweatshirt. Everyone will receive one. 

    A generous donor offered to help us make Passage special for this unique class. To help us fill the gap that the COVID restrictions created, we decided to put together Passage Care Packages for all of the students that they will receive on Passage Day. You will see an email asking for volunteers to help us deliver the Care Packages on June 16th (similar to the yard signs) and we would love as much help and support to get this done. We want every student to receive these packages on Passage Day to help them celebrate this important milestone and show them how much we care about them.

    If you have any questions, please don’t hesitate to ask me, but hopefully, this clarifies the confusion on the sweatshirts.
